Job Summary

Manage daily accounting functions, payroll, invoicing, and office administration to support smooth business operations and compliance within a dynamic engineering environment.

Responsibilities

• Process daily accounting transactions including Accounts Receivable, Accounts Payable, and General Ledger entries to maintain accurate financial records
• Manage sales and purchase records, supplier invoices, and payment processing to ensure timely and accurate financial operations
• Prepare employee salaries and payslips based on monthly time cards to ensure accurate payroll processing
• Generate customer invoices from approved time cards and project records to support billing accuracy
• Prepare quotations, proposals, and business documents to facilitate client and project communications
• Organize and maintain office files, records, and documentation to ensure efficient information retrieval and compliance
• Coordinate communication and collaboration with clients, suppliers, workers, and project teams to support operational workflows
• Support management by performing administrative and operational tasks that enhance office efficiency
• Ensure proper filing and adherence to company procedures to maintain regulatory and internal compliance

Preferred competencies and qualifications

• Experience working in a Construction, Engineering, or Manpower/Labour Supply company to understand industry-specific processes
• Familiarity with worker time card management, project billing, and payroll administration to improve operational accuracy

Job Description

⚠️ This position is open to Singapore Citizens and Permanent Residents (PR) only.

Apex Engineering Pte. Ltd. is looking for a responsible, experienced and detail-oriented Accounts Officer (Female) to support our daily accounting, billing and finance operations.

The ideal candidate must have prior working experience in a Construction / PCM / Manpower Supply company in Singapore, with strong knowledge in timecard-based client billing, GST, payroll support, accounts handling and financial record management.

The candidate should also be highly proficient in Microsoft Excel and have good working knowledge of accounting software.

Key Responsibilities

• Handle daily Accounts Payable (AP) and Accounts Receivable (AR) functions
• Prepare and issue client invoices accurately based on workers’ timecards, attendance records and jobsite work records
• Follow up on outstanding invoices and payment collections
• Maintain proper billing records and supporting documents
• Prepare and update Statement of Accounts (SOA) when required
• Assist in monthly payroll support and salary-related records
• Monitor and verify worker cost-related records where necessary
• Ensure proper handling of GST computation, invoicing and related accounting records
• Assist in preparing documents for GST submission and financial reporting
• Perform bank reconciliation and maintain accurate accounting entries
• Record daily financial transactions and maintain proper accounting files
• Liaise with operations, HR and clients for billing clarification and supporting documents
• Maintain organized records for invoices, receipts, payment vouchers and accounting documents
• Support management with finance-related administrative work when required

Requirements

• Female candidate preferred
• Minimum 2–3 years of relevant working experience in Singapore
• Must have experience in Construction / PCM / Manpower Supply company
• Strong knowledge and hands-on experience in client billing based on workers’ timecards
• Good understanding of Singapore GST and related accounting practices
• Must be highly proficient in Microsoft Excel
  (e.g. formulas, billing sheets, reconciliation, reporting, data handling, etc.)
• Must have good knowledge of accounting software
• Good understanding of general accounting processes including AP, AR, invoicing and reconciliation
• Detail-oriented, organized and able to work independently
• Good communication and coordination skills
• Able to handle confidential financial information responsibly

Preferred Advantage

Candidates with the following experience will have an added advantage:

• Experience handling construction/manpower client invoicing
• Experience with payroll-related support work
• Experience preparing SOA, billing summaries and payment follow-ups
• Experience working with high-volume invoice and timesheet records

Key Responsibilities

1. Project Management: Lead and oversee the end-to-end progress of active compressed air projects to ensure timely delivery and adherence to technical specifications.
2. RFQ Strategy: Drive the technical and commercial evaluation of new project RFQs to secure high-value contracts and optimized system designs.
3. Service Engineer: Direct the service engineering function to provide expert technical reports, maintenance recommendations, and high-level representation at project meetings.
4. Regional Liaison: Act as the strategic bridge between Sales and Service teams, facilitating seamless operational synergy across the Johor Bahru and Singapore branches.
5. Commercial Oversight: Manage project commerciality by auditing costs and identifying value-added service opportunities to maximize overall profitability.
6. Gas Separation Specialization: Direct compressor engineering initiatives for the gas separation sector, ensuring technical integration and performance optimization throughout the project lifecycle.

Requirements

• Degree in Mechanical Engineering, or related field
• Minimum 3–5 years of relevant experience in air compressor / industrial equipment sales
• Strong knowledge of compressed air systems (compressors, dryers, filters, piping)
• Experience handling Singapore industrial clients (e.g. semiconductor fabs, manufacturing plants, oil & gas plants) is an advantage
• Familiar with site safety practices and permit requirements in Singapore
• Good communication, negotiation, and project coordination skills
