Role Overview

The Admin & Foreign Worker Payroll Executive is responsible for managing payroll processing for foreign workers and supporting administrative and HR operations. This role ensures compliance with Singapore MOM regulations, accurate salary computation, and proper handling of Work Permit tax clearance matters, while maintaining efficient office administration.

Key Responsibilities

1. Foreign Worker Payroll Processing

• Process bi-monthly payroll for foreign workers accurately and on time
• Compute basic salary, overtime (OT), allowances, incentives, and deductions
• Ensure payroll cut-off and OT submission are properly applied
• Handle special payroll cases (new hires, home leave, no-pay leave, termination)
• Prepare bank files and cash payment summaries where applicable
• Ensure final salary payment complies with MOM requirements

2. MOM Compliance & Work Pass Administration

• Ensure salary and deductions comply with MOM regulations
• Support levy tracking and reconciliation with payroll
• Ensure proper documentation for audit and inspections

3. Attendance, OT & Leave Management

• Verify worker attendance, OT records, and site deployment details
• Ensure accurate reflection of MC, annual leave, unpaid leave in payroll
• Liaise with Operations team on discrepancies or missing data

4. Claims & Worker Payments

• Process worker-related claims (transport, advance salary, etc.)
• Maintain proper records for advances and deductions
• Ensure all payments are properly documented and acknowledged

5. Administrative & HR Support

• Maintain proper filing of worker records (contracts, permits, payroll, warnings)
• Support onboarding and offboarding of workers
• Assist in dormitory records.

6. Payroll Reporting & Reconciliation

• Prepare monthly payroll summary and cost reports
• Reconcile payroll accounts (salary payable, levy, deductions)

7. System & Data Management

• Maintain employee and payroll records in ERP system (e.g., Synergix)
• Ensure accuracy, completeness, and confidentiality of data
• Assist in resolving payroll system issues

Requirements

• Diploma and/or ITE in HR, Business Administration or related field
• Minimum 1-2 years of payroll experience (construction/manpower industry preferred)
• Familiar with MOM regulations, Work Permit handling, and payroll compliance
• Experience with ERP systems (e.g., Synergix) is an advantage
• Proficient in Microsoft Excel

Salary Range - $2,800 – $3,200

• Regularly checking and maintaining building systems like electrical, plumbing, HVAC, and fire protection to prevent breakdowns and ensure efficiency.
• Conducting thorough inspections of buildings, equipment, and appliances to identify faults and ensure proper functionality.
• Supervising and coordinating with contractors for scheduled maintenance and repairs.
• Ensuring adherence to safety regulations and guidelines.
• Maintaining accurate records of maintenance work, defects, and repairs.
• Providing technical advice and assistance to other staff members or contractors.
• Monitoring building systems for optimal performance and identifying potential problems.
• Addressing immediate issues and complaints.

The Technical Administrator supports the hotel’s Engineering / Maintenance team by handling administrative, coordination, and documentation functions. This role ensures smooth operations, proper reporting, and compliance with client and company requirements.

Key Responsibilities

1. Work Order & Maintenance Coordination

• Receive, log, and track maintenance requests (preventive & corrective)
• Assign jobs to technicians / supervisors
• Monitor job progress and ensure timely completion
• Follow up on pending or overdue work orders

2. Documentation & Reporting

• Prepare daily, weekly, and monthly maintenance reports
• Update service reports, job completion records, and checklists
• Maintain proper filing (digital & physical) of: Work orders Service reports Quotations / POs Contracts

3. Client & Site Coordination

• Liaise with hotel engineering team and client representatives
• Schedule maintenance works and site access
• Ensure all works comply with hotel SOP and safety requirements
• Attend site meetings and take minutes (if required)

4. Inventory & Procurement Support

• Track materials usage and stock levels
• Raise purchase requests (PR) / purchase orders (PO)
• Coordinate delivery of materials to site
• Ensure no disruption due to material shortages

Requirements

• Diploma / ITE in Engineering, Facilities Management, or related field
• 1–2 years experience in admin / coordination role (hotel or facilities preferred)
• Familiar with maintenance operations / technical environment
• Good in Microsoft Excel, reporting, and ERP systems
• Able to work in a fast-paced environment and handle multiple tasks

Working Hours

• 5.5 days work week

Overview

The Accounting Intern (Audit Support) will assist the Finance Department in preparing audit schedules, organizing financial records, and ensuring proper documentation for external audit. This role provides hands-on exposure to audit processes, full-set accounts, and compliance requirements.

Key Responsibilities

1. Audit Preparation & Support

• Assist in preparing audit schedules (AR, AP, GL, bank, fixed assets)
• Retrieve and organize supporting documents for audit requests
• Ensure all records are properly filed and easily traceable
• Liaise with internal team to gather missing documents

2. Documentation & Filing

• Organize financial documents (invoices, receipts, contracts, payment records)
• Maintain proper filing system (softcopy & hardcopy)

• Match invoices with supporting documents (PO, DO, service reports)

• Input accounting data accurately into ERP system
• Assist in updating audit-related records
• Generate reports required for audit review

5. Bank & Reconciliation Support

• Assist in bank reconciliation checks
• Support verification of transactions and balances
• Flag discrepancies for review

6. Administrative & Ad-Hoc Tasks

• Assist Finance Manager in audit-related tasks
• Support in report compilation and data extraction
• Any other duties assigned by Finance team
