A Property Officer or Property Executive supports the Property Manager/Condo Manager in the day-to-day management and operations of residential, commercial, or mixed-use developments.

Key Responsibilities

• Assist in the daily operations and maintenance of the property.
• Conduct routine inspections of common areas, facilities, and equipment.
• Attend to residents' feedback, complaints, and service requests.
• Coordinate maintenance, repair, and improvement works with contractors and service providers.
• Monitor the performance of security, cleaning, landscaping, and maintenance contractors.
• Process renovation applications, work permits, and access arrangements.
• Prepare purchase orders (POs), quotations, service requests, and work orders.
• Verify invoices and support budget tracking and expenditure monitoring.
• Assist in organizing Council Meetings, Annual General Meetings (AGMs), and Extraordinary General Meetings (EGMs).
• Prepare notices, circulars, reports, correspondence, and meeting minutes.
• Maintain records of contracts, warranties, licenses, and statutory inspection reports.
• Ensure compliance with MCST by-laws, safety regulations, and statutory requirements.
• Follow up on defects, maintenance issues, and residents' enquiries until closure.
• Support emergency response and after-office-hours incidents when required.

Responsibilities

• Oversee daily operations and maintenance of the condominium to ensure smooth functioning and resident satisfaction
• Manage service providers, contractors, and vendors for maintenance, security, landscaping, cleaning, pest control, and other services to ensure quality and timely delivery
• Conduct regular estate inspections to identify and address maintenance issues and areas for improvement
• Handle residents' feedback, complaints, and enquiries professionally to maintain positive community relations
• Administer contracts and service agreements, monitor vendor performance, and ensure compliance with agreed terms
• Prepare and manage the annual budget, monitor expenditure, and review quotations to recommend procurement decisions

Requirements

• Diploma or Degree in Mechanical Engineering, Fire Safety Engineering, Mechanical Design & Manufacturing Engineering, Systems Engineering, or a related field.
