Scope of role

Provide customer service in monitoring freight to ensure timely arrival, accurate preparation of shipping documents for final delivery to achieve overall customer satisfaction.

1. Follow up on inbound shipments and ensure freight is made available for customers to receive their cargoes in the quickest possible time.
2. Ensure to meet all Pharmaceutical & Healthcare requirement as per GDP/GDPMDS regulations and directives, as required.
3. Ensure documents and freight are turned over to customers’ brokers timely
4. Trace flight delays with airlines and origins to ensure timely feedback on arrival information to customers and customer service team
5. Ensure all paperwork are in proper order that meet customer’s profile and comply to local rules and regulations
6. Achieve 100% customer satisfaction at all times through understanding customers’ needs and handling requirements as well as ensuring 100 compliance
7. Ensure all data are entered into system timely and accurately
8. Ensure that freight and handling charges are billed accurately and sent billing invoices to customers timely
9. Ensure all inter-company settlements are closed accurately within company’s specified timeframe
10. Prepare and submit reports timely whenever required
11. Ensure all PNC’s are filed promptly with parties concerned
12. Take up additional tasks as required to meet department’s needs

Education & Experience

- Tertiary educations with 1 year working experience.

- Fresh graduates are also welcomed

To provide exceptional customer service to both internal & external customers and to achieve department’s objectives for timely freight processing, and associated admin tasks within the set KPI.

• Communicate with our customers in executing export bookings.
• Prepare export documentations.
• Command in internal export management systems
• Understand and follow internal standards and process to execute bookings.
• Prepare and document customer’s requirements in Standard Operating Procedures (SOPs) database.
• Good understanding of internal quality standards and compliance policies.
• Apply in day-to-day execution of bookings.
• Billings to clients accurately and timely.
• Maintain good relationships with suppliers (Shipping lines, trucking companies and Container Freight Station (CFS) Provider and others involved).
• Declaring Permits after passing Custom Competency test.
• Timely responses to emails within 24 hours and phone communication within the same day.
• Escalation of problems to Management when necessary
• Take up additional tasks as required to meet the Department’s needs
• Meeting 52 hours Training hours / year.

Qualifications, Experience and Education Requirements

• Minimum tertiary educational level
• 1 to 2 years related experience and/or training; or equivalent combination of education and experience.
• Understanding of ocean documentation process or experiences in the industry is preferred but not mandatory.
• Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results.
• Pro-active, strong organizational skills.
• Good computer skills (Excel, Word) and problem-solving skills.
• Fluent in English.
