·        Responsible for the safe and efficient movement of goods/cargo within the warehouse using a forklift. This includes receiving, storing, and dispatching goods/cargo, as well as maintaining warehouse cleanliness and compliance with Safety Management Standards and regulations;

·        Load and unload goods/cargo accurately on or off lorries, vans, trailers or containers, ensuring proper handling and securement;

·        Safely operate forklift to move and stack goods/cargo within the warehouse, placing them in the correct storage bays according to inventory-control instructions;

·        Receive incoming shipments, check for accuracy, and properly store goods/cargo in designated areas within the warehouse;

General

• Procure goods and services (from local and overseas sources) in compliance with Hamilton Sundstrand Pacific Aerospace Pte Ltd (the Company's) Supply Chain Procurement procedures, Ethics, Global Trade, and EH&S requirements to support operations and business needs.
• Ensure understanding and compliance with RTX Code of Ethics, Global Trade, and EH&S (Environment, Health and Safety) policies, its supplements and governing policies, and compliance to legal, corporate, and country requirements.
• Ensure timely completion of all regulated trainings in ethics, compliance and EH&S.
• Maintain an awareness of advances in technology or innovations to facilitate improvement in effectiveness and efficiency of supply chain practices.

Specifics

• Work with requestors/users to establish scope of works/services, and/or product specifications, to facilitate the process of soliciting quotations, request for price proposals, competitive bidding, as per Procurement procedures.
• Establish baseline prices, price evaluation, negotiations of prices and commercial terms and conditions based on the total cost of ownership consideration; within established limits of authority, in the Company's best interest.
• Provide routine purchasing support to functional stakeholders for the purchase of (but not limited to) goods, services, capital equipment and machinery, machining or special process services.
• Insure timely processing of purchase requisitions, order releases, and/or confirmation of purchase and/or service agreements.
• Delivery assurance and follow-up to insure goods are delivered, and/or services are completed in accordance with committed fulfillment dates.
• Coordinate the resolution of non-conforming goods, and/or services, and delivery recovery planning.
• Perform periodic vendor visits (where necessary) to assess adequacy of vendors' operations, capabilities and capacity to support the Company's requirements.
• Work in cross functional teams in work transfer assessment, vendor qualification and selection for operations offload of machining or special processes.
• Facilitates the disposal of company properties and/or scrap material as per disposal procedures.
• Facilitates internal and external audits.

Vendor Account

• Perform vendor screening as per global trade policy; prior to any engagements with any vendor or adding the vendor to the vendor master file.
• Vendor account creation, vendor account amendments, and vendor credit terms application.
• Identify inactive vendor accounts, and/or opportunities for consolidation of services or product purchases; to reduce the vendor base.
• Work with related functional stakeholders (requestors, Logistics and Accounts Payables) in the disposition and resolution of payables to vendors / suppliers.

Innovations

• Apply and utilize CORE (continuous improvement) tools in facilitating and supporting organizational innovations. Identify opportunities in process improvements and reduce non-value-add activities or processes on a continuing basis.
• Identify and evaluate opportunities in cost reduction activities and initiatives, either within the purchasing group or working with functional stakeholders or vendors.

Reports and Documentation

• Publish standard reports as may be established and assigned from time-to-time to the intranet dashboards, preparing and submitting reports for management reporting; not limiting to vendor performance metrics, and commodity program metrics.
• Ensure proper retention and document archive (manual or electronic), including but not limited to purchase orders, vendor quotations, order acknowledgements, correspondence, or documents to be retained as required of related functional procedures; and/or for the purpose of reference, evidence, audit and compliance requirements.

Vendor Accreditation

• Facilitate EH&S training for vendors, maintaining and updating the Accredited vendor list, database of records and licenses as required of accredited vendors.

The Warehouse Admin Support Assistant will be assisting where needed to ensure the smooth functioning and running of all warehouse and logistics concerning activities. which contributes to the optimum growth of the Company.

Main duties and responsibilities:

Daily Operations Support

• Ensure readiness and accuracy of documentation for inbound and outbound shipments in timely manner.
• Generate warehouse picks and monitor shipment processing in WMS.
• Post warehouse shipments in WMS upon completion of the picking done by warehouse via handheld device.
• Post warehouse receipts in the WMS system upon confirmation from the warehouse supervisor that the accuracy and condition of the stocks are acceptable.
• Coordinate with purchasers to resolve discrepancies between physical stock and documentation.
• Coordinate with business units and warehouse colleagues to support operational requests (the scope includes but not limited to assisting in providing physical count quantities, coordinating the delivery status, lead time and eta, etc).
• Retrieve and archive signed delivery documents from the logistics team
• Scan and distribute documents and photos to relevant stakeholders (Purchaser / Market Support / Compliance) upon job completion according to SOP. (e.g. Container stuffing and unstuffing photos/endorsed documents, etc).
• Generate pallet markings in accordance with Singapore Customs physical tagging guidelines and coordinate with warehouse supervisor and purchaser to facilitate space preparation and collection for inbound shipments.
• Coordinate with warehouse colleagues for the internal transfer orders to ensure smooth and efficient completion.

Record Maintenance

• Maintain proper physical and electronic filing of shipment, including daily inbound/outbound record updates in shared folders. It is to track the order details, vehicle and driver assignments which are crucial for future report generation and investigation for various purposes.
• Detect and report documentation discrepancies to the line supervisor, record incidents for further investigation.
• Ensure proper maintenance of office equipment and regularly update the warehouse asset maintenance record.
• Maintain the daily attendance record.
• Ensure the reverse logistics is done in system in accordance with the physical return. For the VDP/KIV/Damaged stocks, monitor and follow up to maintain the stock accuracy.
• Update the lot book upon receiving inbound shipments.
• Maintain required photo documentation (embassy orders, return stock receipt, inbound discrepancy etc) based on business or compliance requirements.

Ad hoc duties

• Assist in cycle count/annual stock take if being assigned.
• Undertake any other duties in relation to the job scope as assigned by your superior from time to time.

This position reports to the Logistics Manager and will be trained to analyze inventory data to support effective inventory management, cost control, and operational decision-making. He/she will learn to ensure data accuracy across ERP systems, monitors inventory performance, identifies trends in consumption, excess, and obsolescence, and learn to deliver actionable insights through reports and dashboards.
