Job Summary

Supports a purchasing team by processing purchase orders, tracking deliveries, and managing vendor documentation. Ensures that daily buying operations run smoothly, inventory records remain accurate, and supplier payments are processed efficiently.

Responsibilities

• Process purchase orders and verify invoice pricing to ensure accurate payment submissions to the Accounts Department
• Communicate with suppliers via email to resolve invoice discrepancies and clarify order details
• Update inventory records and perform stock deductions in the system based on warehouse data to maintain accurate inventory levels
• Prepare reports to support purchasing and inventory management activities
• Perform ad-hoc administrative duties as assigned by supervisors to support team operations

Preferred competencies and qualifications

• Diploma or equivalent qualification
• Minimum 2 years of experience in the industrial machinery trading industrial sector
• Proficient in Excel to manage data and reporting tasks
• Ability to start work within a short period of time
• Proficiency in Mandarin to communicate effectively with Mandarin-speaking clients

Key Responsibilities:

• Documentation and Record Keeping:
  Process and manage all incoming and outgoing warehouse documentation, including delivery orders, goods receipt notes, packing lists, invoices, and waybills.
  Maintain accurate and up-to-date physical and digital records of all warehouse activities.
  Prepare and generate various reports related to inventory, shipments, and warehouse performance.
  Ensure compliance with all company policies and procedures related to documentation and record retention.
• Inventory Management Support:
  Assist in maintaining accurate inventory levels by reconciling physical counts with system records.
  Process inventory adjustments, transfers, and returns in the warehouse management system (WMS).
  Support cycle counting and annual stock-taking activities.
  Identify and report discrepancies or issues related to inventory.
• Data Entry and System Management:
  Accurately input data into the WMS or ERP system for all goods movements, including receipts, dispatches, and transfers.
  Update system records to reflect real-time inventory status.
  Troubleshoot basic system issues and escalate as needed.
• Communication and Coordination:
  Liaise with internal departments (e.g., procurement, sales, customer service, finance) regarding orders, deliveries, and stock availability.
  Communicate effectively with external parties, including suppliers, transporters, and customers, on delivery schedules and discrepancies.
  Answer phone calls and emails, addressing inquiries related to warehouse operations.
• Administrative Support:
  Manage office supplies for the warehouse office.
  Assist in scheduling appointments and meetings for the warehouse team.
  Support general administrative tasks as required to ensure the efficient running of the warehouse.

Qualifications:

• Education:
  High School Diploma or GCE 'O' Level/ 'A' Level or equivalent.
  A Diploma or Certificate in Logistics, Supply Chain Management, Business Administration, or a related field is a plus.
• Experience:
  Fresh Graduates/Diploma holders welcome to apply
  Familiarity with warehouse operations and inventory management principles.
• Skills:
  Proficient in Microsoft Office Suite (Word, Excel, Outlook) with strong Excel skills (e.g., VLOOKUP, pivot tables).
  Excellent data entry skills with a high degree of accuracy and attention to detail.

JOB DESCRIPTION

We are looking for an independent Warehouse Logistics Administrator who has an overwhelming desire to succeed to join our team. You will support the day-to-day warehouse operations and logistics activities of our supply chain department, ensuring smooth warehouse operations, accurate inventory management, and efficient coordination of inbound and outbound logistics. This role is essential in maintaining efficient supply chain processes, data integrity, and cross-functional collaboration between various departments. The ideal candidate is detail-oriented, organized, and able to work effectively with internal teams and external logistics partners.

RESPONSIBILITIES

• Manage daily warehouse operations including receiving, storage, picking, packing, and shipping of goods.
• Track and maintain accurate inventory records using WMS and other customer-specific systems and conduct regular stock counts to ensure alignment with system records.
• Manage inbound and outbound shipments with logistics providers, freight forwarders, and carriers and track shipments, ensuring timely delivery, and prompt handling of issues that arise during the process
• Prepare and process shipping, customs, and logistics documentation (e.g., delivery orders, invoices, airway bills).
• Monitor shipments/delivery timelines and resolve any logistics discrepancies or delays.
• Update/Interact with internal teams (sales, customer service, operations), external vendors, and customers to ensure smooth operations and address any concerns.
• Support demand planning and product allocation to maintain optimal stock levels.
• Ensure warehouse compliance with safety, quality, and operational standards.
• Generate reports on warehouse and logistics activities, including stock status and KPI tracking.
• Assist in ad-hoc warehouse and logistics-related tasks to support departmental needs.

JOB REQUIRMENTS

• Min. Nitec/ Diploma in Logistics, Supply Chain, Business Administration, or related field.
• 1–3 years of experience in warehouse, logistics, or supply chain administration.
• Proficiency in Microsoft Office Suite, ERP/WMS systems, SAP and other relevant systems preferred
• Strong organizational skills, attention to detail, and ability to manage multiple priorities.
• Effective communication and problem-solving skills.
• Ability to work both independently and collaboratively in an SME and fast-paced environment.
• Knowledge of import/export documentation and customs clearance is a plus
