The Role

As a Purchasing Officer, you will be responsible for managing the end-to-end procurement process, including sourcing, vendor management, contract administration, and purchase order execution. Working closely with internal stakeholders across Operations, Maintenance, Engineering, and Finance, you will ensure procurement activities are conducted in accordance with company policies while achieving the best value, quality, and delivery outcomes. The Daily

·       Process purchase requisitions and issue purchase orders in a timely and accurate manner.

·       Prepare and issue Requests for Quotation (RFQ) for auxiliary raw and packaging materials and conduct commercial negotiations with suppliers.

·       Handle procurement of production-required auxiliary raw and packaging materials, including order placement, monitoring, and Logistics Invoice Verification (LIV).

·       Sourceand evaluate new suppliers, including arranging testing samples for evaluation and qualification.

·       Monitor purchase order status and expedite deliveries to ensure uninterrupted production operations.

·       Manage supplier performance and maintain strong relationships with key vendors and service providers.

·       Collaborate with Operations, Maintenance, Engineering, and other departments to understand procurement requirements and timelines.

·       Resolve procurement-related issues such as delivery delays, quality concerns, invoice discrepancies, and other assigned tasks independently and resourcefully.

The Essentials

·       Possess a Degree in Supply Chain Management, Business Administration, Engineering, or a related discipline.

Job Description

1) To source and develop alternate potential suppliers to mitigate supply risk upon receive from internal customers.
2) Focus on reducing cost /minimising price increase without compromising quality and compliance.
3) To review the terms in the Quotation/Contract and negotiate the best for the interest of the company.
4) Resolve the problems related to goods supply, including cargo damages, shipment delay or early landed, payment issue verification with the Accounting Department. within his/her level.
5) Conduct supplier audit and supplier performance review periodically to ensure comply with rules.
6) Drafting contract/fine-tuning with the supplier for the Manager's decision, where applicable.
7) Process daily PO, follow up for confirmation, including order amendment, and coordinate for spec./drawing change by internal customers, also ensure comply with Purchase protocol
8) Prepare summary report, any other ac-hot requests as assigned

Job Requirement

・Degree preferred with a technical background
・Min. 4 - 6 years relevant experience in MNC in electronic industry
・Strong attention to details, possessing a team working aptitude and interested in preventing errors and solving problems.
・Basic working knowledge of SAP system.
・Ability to manage multiple tasks efficiently
・Able to work under pressure and with great sense of urgency
・Must be open to travel sometimes to SEA countries

Job Description:

• Manage end-to-end purchasing activities, including sourcing, quotation comparison, and issuance of Purchase Orders (PO)
• Liaise closely with suppliers to ensure timely delivery of materials and resolve any supply-related issues
• Support price negotiation with suppliers to achieve cost-effective procurement
• Perform goods receipt in SAP to ensure accurate and timely recording of transactions
• Coordinate inbound logistics and provide administrative support for purchasing operations
• Maintain proper documentation, records, and filing in compliance with company policies and regulatory requirements
• Work closely with internal stakeholders to ensure smooth procurement processes

Job Requirements:

• Minimum ITE / Diploma in Business Administration, Supply Chain, Logistics, or related field
• At least 3 years of relevant experience in purchasing or procurement, preferably in a manufacturing environment
• Familiarity with SAP (preferably MM module) will be an advantage
• Proficient in Microsoft Office applications (Excel, Word, PowerPoint)

Stocks Handling:

• Monitor stock levels, ensure products are accurately counted, and maintain records of goods stored in the warehouse. Ensure that stock is properly organized and easy to locate. In charge for monthly store take.

Receiving Goods:

• Oversee the receipt of incoming goods, ensuring they match purchase orders and are in good condition. Record deliveries accurately and check for discrepancies or damage.

Storage and Organization:

• Ensure that goods, wares & supplies and equipment are stored safely and efficiently, following proper labelling and shelving procedures. Organize the warehouse layout for easy access and space optimization.

Order Fulfilment:

• Picking, packing, and preparation of orders for shipment, ensuring accuracy and timely dispatch. Ensure that orders are complete and correctly packaged.

Stock Rotation:

•  Implement and maintain stocks, wares, supplies and equipment rotation procedures (such as FIFO—First In, First Out) to ensure older stock is used first and to prevent expiry or obsolescence.

Safety and Compliance:

• Ensure that warehouse operations comply with safety regulations and best practices. Conduct regular safety checks and train staff on proper equipment usage and safety procedures.

Documentation:

• Maintain accurate records of stock movements, receipts, dispatches, and other warehouse activities. Generate reports for inventory control and management review.

Construction and Engineering Sector

Description:

• Understand the engineering machinery markets in China, the USA, and Germany, particularly familiar with equipment from Sany, XCMG, CATERPILLAR, and LIBHERR.
• Verify receipt of items by comparing items received to items ordered.
• Handle overseas shipments, prepare packing lists for the project team, and ensure correct quantities are received on-site.
• Process purchase requisitions, purchase change orders, and requests for quotes from suppliers.
• Keep information accessible by sorting and filing documents.
• Provide purchasing planning and control information by collecting, analyzing, and summarizing data and trends.
• Interact closely with suppliers and engineers to resolve quality issues.
• Maintain a good PO system and conduct periodic system updates regarding suppliers, prices, products, etc.
• Willingness to travel overseas frequently to facilitate communication with clients.
• Perform any other ad-hoc duties as assigned by the Company Management.

Requirements:

• Candidate must possess at least a Diploma in Operation Management or any Engineering-related field.
• At least 2-3 years of relevant working experience in the equipment industry.
• Fluent in both English and Mandarin.

• Willing to accept long-term overseas assignments.

Key Responsibilities

• Manage purchase requisitions, quotations, and purchase order (PO) processes

• Review demand and generate purchase plans based on lead time, MOQ, and pricing

• Coordinate with Planning and Production teams to support material requirements

• Monitor delivery schedules and follow up with suppliers to ensure timely delivery

• Source urgent or spot-buy materials from the open market when required

• Handle rescheduling requests (pull-in/push-out) based on production needs

Job Requirements

• At least 2 years of relevant experience in purchasing, planning, or materials management in a manufacturing environment

• Experience in EMS or semiconductor industry is an advantage

• Knowledge of SAP or ERP systems is preferred
