Job Responsibilities：

· Provide and monitor the entire operations through liaising with agents, masters, bunker suppliers, ocean route company, vessel broker &insurer to ensure all shipments run smoothly.

· Maintain operational optimization to add value to maximize profits and minimize losses or costs.

· Prepare all relevant documentary instructions to various counter parties, and assist Chartering Desk to check and verify the information requested.

· Calculate the Freight/Hire and any Laytime/Demurrage/Despatch incurred, work with finance department to check the related payment documents.

· Coordinate the management Department to solve the ship technical Issues.

· Any other duties as assigned.

· 1- 3 year of relevant working experience or fresh graduates from Poly or University.

· Proficient in Chinese and English Language.

Job Summary
As an Operations Executive at JCI, you will play a key role in ensuring the smooth and efficient delivery of training programmes across the entire lifecycle, from pre-course planning to post-course administration. This role requires strong organisational skills, digital proficiency, and the ability to manage multiple stakeholders.

You will be responsible for coordinating training logistics, managing enrolments and records through the Training Management System, supporting course delivery, and handling post-course processes such as invoicing, grant submissions, and reporting. In addition, you will leverage digital tools and systems to enhance operational efficiency and continuously improve workflows.

This position is ideal for a proactive and detail-oriented individual who is comfortable working with systems, able to adapt quickly in a fast-paced environment and enjoys collaborating with cross-functional teams such as Sales and Product to deliver high-quality training experiences.


Role & Responsibilities

1. Pre-Course Operations & Administration

•Facilitate trainer and venue bookings, ensuring all training resources are properly prepared

•Manage enrolment of individual and corporate learners via the Training Management System

•Prepare and send class confirmations and pre-course communications

2. Course Delivery Support

•Support onboarding and act as co-host for virtual/online classes when required

•Ensure smooth execution of classes and troubleshoot operational or system-related issues

•Act as a point of contact for trainers, clients, and internal teams on training-related matters

3. Post-Course Operations & Administration

•Manage post-course processes including invoicing, grant submission, and grant tracking, ensuring accuracy and timeliness

•Oversee evaluation processes (survey setup, data extraction, and reporting)

•Maintain proper documentation and records (including video and digital content management)

•Analyse post-course data to identify gaps and recommend improvements

4. Systems & Day-to-Day Operations

•Maintain and ensure data accuracy within Training Management Systems

•Handle administrative queries from Sales team and liaise with Marketing where required

•Monitor classroom/resource utilisation and operational efficiency

5. Process Improvement & Reporting

•Identify process gaps and propose improvements to enhance workflow and system utilisation

•Support reporting for monthly reviews, including operational metrics and performance data

•Collaborate with Product and Sales teams on operational support and business initiatives

Qualifications

•Diploma or higher in any discipline

•1–2 years of experience in operations, preferably in a training provider or similar environment

•Comfortable working with digital systems (experience with Training Management Systems is an advantage)

•Strong digital literacy and ability to learn new systems quickly

•Detail-oriented with strong data accuracy and organisational skills

•Good communication and stakeholder management skills

•Proactive, adaptable, and able to work in a fast-paced environment

•Able to multitask and manage responsibilities independently

•Team player with a continuous improvement mindset

Job Duties

1. Liaising with clients to obtain supporting documents for the preparation of the management accounts.

2. Process payroll transactions and monthly CPF submissions on behalf of the client.

3. Performing monthly bank reconciliations.

4. Assist in posting accounts entries using accounting software

5. Preparing and submission of GST return.

6. Preparation of Audit Schedules and liaising with external auditor during the Annual Audit.

7. Responsible for the preparation and maintenance of full set of accounts

8. Assist the Account Manager with daily tasks

9. Discuss issues with the director / Supervisor

10. Other ad hoc duties

Requirements

1. CAT/LCCI/Diploma/Degree in Accountancy/ACCA or equivalent

2. At least 1-2 years of experience

3. Proficient in MS Office, or any accounting software, MYOB, QuickBooks Online, Xero, Autocount, and other online accounting software

4. Have a positive work attitude with good communication skills, be proactive with problem-solving skills, and be able to work under pressure to meet a tight timeline.

Job Responsibilites

Facilities & Equipment Maintenance

• Conduct regular inspections of facilities and equipment; troubleshoot issues and assess defect reports

• Supervise preventive maintenance and recommend improvements or upgrading works

• Advise Management on building conditions and maintenance needs

• Train Operations staff on proper and safe use of equipment

• Respond to emergency maintenance issues, including after office hours, weekends, and public holidays

• Maintain accurate records of maintenance and repair works

• Oversee fire safety systems and ensure compliance with regulatory requirements

• Supervise overall upkeep and maintenance of the Home

Contract Management

• Lead tender processes, including scope definition, evaluation, and recommendation of proposals

• Manage contractors to ensure compliance with contract terms, service standards, and safety regulations

• Track contract timelines and initiate renewals promptly

• Verify completion of works and supporting documents before payment processing

Inventory Management

• Develop and maintain effective inventory storage and control systems

• Oversee proper documentation and tracking of donated items

• Manage inventory of medical and non-medical supplies, ensuring adequate stock levels

Supervisory Responsibilities

• Oversee daily operations of Maintenance, Security, Laundry, Food Services, Front Desk, and Transport

• Lead and manage teams (Maintenance, Front Desk, Laundry, Store, Driver), including recruitment, training, and performance management

• Ensure compliance with workplace safety and operational standards

• Escalate disciplinary matters to Management when required

Administrative Duties

• Develop and review departmental SOPs and ensure compliance

• Verify invoices and monitor expenditures within budget

• Support budget planning and forecasting

• Coordinate with IT on system support and enhancements

Others

• Support compliance functions (Fire Safety, Workplace Safety, incident management, etc.)

• Participate in and lead improvement projects where required

• Cover duties of Executive – Operational when necessary

• Perform any other duties as assigned by Management

Job Requirements

• Diploma or Degree in Building/Facilities Management or a related field

• 3–4 years of experience in facilities management, M&E, project management, and procurement, with at least 2 years in a supervisory role

• Experience in the healthcare sector is an added advantage

• Strong interpersonal and negotiation skills, with the ability to work effectively in a team

• Able to work independently and manage multiple tasks under tight timelines

• Good knowledge of workplace safety regulations and compliance standards

• Proven ability to manage manpower and budgets effectively

• Strong analytical thinking and problem-solving skills

• Proficient in MS Office applications (Excel, Word, PowerPoint)

• Demonstrated leadership skills, with the ability to lead teams, train staff, and drive departmental goals
