Job Summary

Manage and optimize daily office administration and operations by implementing global administrative systems, coordinating facility maintenance, managing procurement, and supporting logistics to ensure efficient workplace functionality.

Responsibilities

• Plan and implement a global administrative and general affairs management system, including developing standard forms, meeting SOPs, and training staff on clerical tools
• Coordinate facility upkeep by liaising with vendors to maintain cleanliness, first aid supplies, and fire-fighting equipment
• Ensure reception and meeting rooms are prepared and maintained at the start and end of each day
• Record and update office inventory and manage timely ordering of stock and supplies
• Manage procurement and replenishment of consumables, stationery, and other office essentials for all centers
• Provide logistics support by arranging room bookings, preparing beverages, and setting up equipment such as projectors
• Manage diaries, arrange appointments, and book meeting rooms and conference facilities efficiently

Preferred competencies and qualifications

• Maintain accurate and up-to-date accounting records in accordance with company policies.

• Maintain proper filing and documentation of accounting records.

• Verify supplier invoices, purchase orders, and delivery orders for accuracy.

• Process payments to suppliers, subcontractors, and vendors according to payment terms.

• Manage workers payroll processing and ensure timely and accurate salary payments.

• Assist in annual audit, tax submissions, and government reporting (GST, IRAS, etc.).

Requirements

• Diploma or Degree in Accounting, Finance, or equivalent qualification

JOB SUMMARY

You will be responsible for the success of the outlet and oversee our F&B operations the retail outlet.

RESPONSIBILITIES & EXPECTATIONS

· Lead and manage operation team, front and back-of-house staffs across the assigned retail outlet to deliver high level of product and service excellence in accordance with the company’s strategic.

· Develop and direct company’s overall budget planning strategy, goals and cost saving practices.

· Provide leadership and guidance to operation team and restaurant managers on addressing the service, organization and cost issues.

· Research and develop opportunities and plans, understanding market requirements, identify market trends in F&B, and suggest improvements to achieve the company's goals and profits.

· Diploma in F&B Management, Hospitality or related discipline

The Management Trainee leads the daily operational and financial excellence of the outlet by exercising great leadership and decision-making that supports operational standards. They are responsible for the daily operations of an outlet, including auditing, manpower planning, performance management, oversee the inventory and ordering of food supplies, optimising profits, customers relations and ensuring high customer service standards.

Duties and Responsibilities shall include but not limited to:

Outlet Operation

• Ensure the highest level of safety, cleanliness, quality, and speed, while simultaneously upholding Hugabo standards of hospitality in all interactions
• Administer timely inventories requisition and receiving procedures
• Monitor and foster service quality and customer satisfaction
• Formulate strategies to minimise waste production
• Identify and establish internal and external stakeholder relationships
• Lead team to implement and carry out changes required in the outlet
• Manage crisis situations
• Ensure outlet and equipment are in working condition
• Manage the customer experience thru different platform, by encouraging social media reviews and ratings
• Responsible to provide timely communications to internal and external stakeholder
• Provide timely feedback to the Area Manager with regards to outlet activities

Safety Compliance

• Conduct scheduled food audit are carried out timely and accurately
• Ensure compliance with operational standards as well as safety and hygiene regulations
• Ensure food and ingredients products are use and sell according to First-In-First-Out and First-Expire-First-Out guidelines
• Communicate safe work procedures and safety rules and ensure compliance of team member
• Understand and identify hazards and implement effective risk control measures
• Ensure all SFA guidelines are adhered in the outlet
• Ensure food safety in accordance to Hugabo SOP

Manpower

• Assist to forecast resource and manpower needs
• Plan weekly schedule to ensure staffing levels based on business needs
• To manage outlet staff grievances and conflicts and issue disciplinary action, and escalate to Area Manager / HR, when necessary
• Conduct on-site orientation which includes safety and hygiene, and on-the-job training for new employees
• Lead, motivate and train team member to boost staff morale and facilitate succession planning
• Lead and motivate team member to achieve goals, providing timely performance feedback and ensures accountability for each team member
