Your responsibilities will span trade booking, reconciliation of positions and cash balances, liaising with key external partners such as prime brokers and fund administrators, executing monthly swap resets, tracking corporate actions, and participating in automation projects designed to streamline processes.

• Ensure accurate booking and processing of trades within the order management and portfolio management systems according to established procedures and expectations.
• Perform daily reconciliation of positions and cash balances, identifying discrepancies and collaborating with relevant parties to resolve any issues promptly.
• Liaise effectively with prime brokers and fund administrators regarding cash breaks, position breaks, and other operational matters requiring attention or clarification.
• Execute monthly swap resets diligently while monitoring broker data to ensure consistency and accuracy across all records.
• Track and monitor corporate actions as well as elections, ensuring timely responses and correct implementation within internal systems.
• Participate actively in automation projects aimed at enhancing processes and workflows under the supervision of senior team members.
• Support ongoing process improvement initiatives by providing feedback, assisting with documentation, and helping implement new solutions as directed.
• Collaborate closely with both internal stakeholders such as portfolio managers and compliance teams, as well as external partners including prime brokers and fund administrators.
• Undertake additional duties as assigned by the Senior Operations Manager or other senior staff members to support the smooth functioning of the operations department.

What you bring:

The ideal candidate for the Junior Fund Operations Analyst position brings proven experience from similar roles within financial services—particularly those involving back or middle office functions for investment funds. Your background should reflect an aptitude for managing complex operational processes efficiently while upholding rigorous standards of accuracy. In addition to technical proficiency with relevant systems (such as PMS or Bloomberg), your interpersonal strengths will enable you to build trust-based relationships across diverse teams.

• Hold a degree with at least 2-5 years of relevant experience in back or middle office operations within hedge funds, long-only funds, or service providers supporting these sectors.
• Demonstrate an analytical mindset with the ability to prioritise tasks effectively while maintaining high standards of accuracy under time constraints.
• Possess strong communication skills complemented by excellent interpersonal abilities that foster positive relationships with colleagues and external partners alike.
• Showcase experience or exposure to project management or process enhancement initiatives; prior involvement in automation projects would be advantageous but not essential.
• Display familiarity with portfolio management systems (PMS), Bloomberg terminals, or matching systems; practical knowledge is preferred but not mandatory for success in this role.

• Process Mapping: Documenting current workflows ("as-is") and creating process models using tools like MS Visio or Lucidchart.
• Data Collection & Analysis: Gathering data from various sources to analyze process performance and identify inefficiencies.
• Reporting & Dashboards: Creating reports and dashboards to visualize data, track metrics, and provide insights to stakeholders.

Responsibilities

• Liaise with stakeholders to identify business needs.

• Coordinate, manage and/or work with external auditors, service providers, regulators and/or other agencies.

• Conduct in-depth analysis of the business requirements specifications and feasibility studies on possible solutions. 

• Identify and communicate findings/issues to auditees and management and recommend appropriate solutions and improvements in the control environment, risk management, business and governance processes.

• Document needs and objectives, current operational procedures, issues. Implement SOP and knowledge base to assure continued operational effectiveness of audit and compliance management actions and controls.

• Develop detailed user requirement documents. 

• Identify system/data products deficiencies and performance gaps. Perform compliance checks or follow-up review on IT applications and processes to assess the overall state of compliance with prevailing cybersecurity policies, processes and standards and that management agreed actions are implemented as planned. Determine the adequacy, operating effectiveness of the controls implemented.

• Identify options for resolution of system gaps. Drive and collaborate with cross-functional team to strengthen security measures.

• Support the preparation of solution proposals

• Advocate technical compatibility and user satisfaction

• Conduct change impact analysis

• Support Planning of project timelines and resources needed

• Prepare project status reports for stakeholders. Provide regular reporting to relevant stakeholders, including senior management, on the overall state of audit and compliance.

• Work with users, technical staff and management to determine and resolve issues. Communicate and provide relevant, timely and credible information to allow management address identified IT risks, formulate appropriate risk treatment plans to meet business objectives.

• Drive and execute IT audits within the organization in accordance with the approved annual audit plan. Review and coordinate the work of the team members to ensure that artefacts provided to auditors, draft audit reports and other deliverables meet the internal standards and assignments are completed within budgeted time.

Requirements

• Bachelor's degree in Computer Science, Information Security or related field

• 5+ years experience in Application Operations, IT governance, compliance, or security

• Experience with application security standards and controls

• Understanding of software development lifecycle

• Familiarity with audit processes and requirements

• Strong analytical and problem-solving skills

• Excellent communication and stakeholder management abilities

• Relevant certifications (CISA, CISM, CRISC) preferred
