About the Role:

• Organise, co-ordinate and control the FMC team, sub-contractors appointed by the Client and visiting subcontractors. Role Purpose
The Facilities and Property Executive supports the Facilities Manager in the day-to-day administrative and operations of the Sentosa Sensoryscape project. The role focuses on administrative coordination and on-site supervision of sub-contractors, including those engaged directly by Sentosa Development Corporation, acting in a Managing Agent (MA) support role to ensure service standards, site presentation, and compliance are consistently maintained.

In addition, the role involves coordinating with relevant stakeholders, including operations teams, event organizers, tenants, and government agencies, to support daily operations and special events effectively.

Working Hours

• Based on a 5.5-day work week subjected to operational requirements.

3. Site Operations and Event Support

• Act as a point of contact for day-to-day site matters.
• Assist in handling service requests, feedback, and minor complaints from both internal and external stakeholders.
• Coordinate with internal teams and external vendors to support smooth site operations, including support for events.

4. Compliance, Safety & Standards

• Assist in ensuring contractors comply with site rules, safety requirements, and Sentosa standards.
• Support inspections, audits, and compliance checks (e.g. internal audits, client inspections).
• Ensure proper documentation and records are maintained for accountability and traceability.

• Diploma or equivalent qualification in Facilities Management, Property Management, or related field.

   • Ensure that the requester submit the detailed list of personnel and vehicle accessing the school and forward this to the Admin Manager and Security Supervisors, at least 3 days before the date of usage.

   • Send a weekly reminder to the security office prior to the weekend on all approved usage of facilities.

   • Follow up with the requester should there be issues with regard to the rental or usage of facilities, such as damages or cancellation due to inclement weather.

   • For repeated bookings, ensure that this is done on a monthly basis upon confirmation of the school's own requirements, and liaise with the Finance Office to ensure timely billing. For example, to monitor the usage of the football fields by SMSA and advise the Finance Office on the amount of overtime security staff support to bill.

   • Compile a bi-annual report of the facilities rental income. 

   • Regularly review the system of facilities bookings and rental with aim to improve the efficiency of the process.

• Oversee data collation and maintenance of legacy records

C. REQUIREMENTS & SKILLS

• At least 4–6 years of relevant working experience (more for Manager position)
• Candidate must possess at least a Diploma/Degree in Business Administration, Sports Management or related fields
• Strong understanding of administrative, facilities and operational processes
• Experience in stakeholder management and coordination across multiple parties
• Meticulous with strong organisational and data management skills
• Good communication (written and verbal) and interpersonal skills
• A strong team player with good problem-solving skills
• Able to work independently, multi-task and meet deadlines
• Proficient in Microsoft Office (Excel, Word, PowerPoint)
• Knowledge of WordPress or membership platforms will be an advantage

 Job Scope

• Oversee property conditions, including maintenance and capital requirements.

• Coordinate with Head of Facility on defects, feedback, and rectification works.

• Plan and supervise preventive and corrective maintenance to minimise disruptions.

• Budget, schedule, and coordinate capital improvements and maintenance.

• Ensure contractors/vendors complete works on time and to required standards.

• Conduct regular site inspections.

• Support in administration, project monitoring, and work reviews.

• Source and compare vendors/contractors for maintenance and repairs.

• Handle asset-related issues, including fire, building, and security emergencies.

• Manage enforcement matters, tenant requests, and address concerns.

• Review legal documents and contracts; prepare tenders and negotiate or renew agreements.

• Ensure term contracts are properly executed and take corrective actions when needed.

• Maintain records and documentation; manage filings and support finance on invoices and documentation.

• Serve as OH&S Committee member, ensuring safety compliance and recommending improvements.

• Perform any other assigned duties.

·       Assist the manager in administrating the day to day operations in Facilities Management Department.

·       Provides administrative and site facility support.

·       Communicate service requests to Command Centre.

·       Assigns the generated work orders to FM Team 

·       Coordinate with the FM Team to close the service requests

·       Ensure work orders issued are closed in time with customer satisfaction.

·       Maintain and check for accuracy on completed paperwork submitted by vendors.

·       Develop and maintain filing system to keep track of work updates and statutory licenses status.

·       Assists the site FM in managing cleaning staff, pest control staff and other vendors when required.

·       Coordinates with Vendor to arrange for any servicing schedule

·       Manage and monitor pantry service and ensure that services are meeting/exceeding SLA define by Client and SODEXO

·       Provides support whenever there is shortage of manpower in the department.

·       Administrate OT submissions for staff.

·       Assists the FE in liaising and reporting building defects wherever applicable.

·       Conducts safety walks and workplace inspections together with the FE.

·       Assists the FE in the preparation of reports and documents in variety of formats (PowerPoint, Excel, Word etc.).

·       Escalate urgent issues identified to the Site FM.

·       Maintain site records, keeping it updated and accurate.

·       Raise purchase requisitions as required.

·       Any ad-hoc duties required by the department.

·       Tracking of consumable items and finance expenditures.

·       Prepare monthly Facilities and Food Service Reports and present to client.

·       Track meeting minutes and follow up on action items to close in timely manner.

·       Event management / setups with the FM team as and when required (hands-on might be required).

·       Short term assignment on checking of fire safety equipment on monthly basis within the buildings.

·       Process any transport claims and submit to transport vendor for payment.
