Job Summary

Manage end-to-end human resource administrative functions including recruitment, orientation, work permit processing, salary computation, benefits administration, and training coordination to support workforce efficiency and compliance.

Responsibilities

• Draft clear job descriptions and post advertisements to attract qualified candidates
• Screen resumes to identify suitable applicants for further evaluation
• Conduct employee orientation sessions and facilitate completion of required paperwork
• Manage migrant workers’ work permit applications and tax clearance processes to ensure legal compliance
• Calculate workers’ salaries accurately and submit CPF contributions on time
• Coordinate training programs and oversee the provision and maintenance of personal protective equipment (PPE)
• Administer employee benefits including insurance, medical coverage, and leave entitlements to support workforce welfare
• Perform ad-hoc administrative tasks as needed to support HR operations

Requirements
- Minimum 3 years experience in related field.
- Good computer skills.
- Willing to work on alternate Saturday.

The HR & Admin Assistant will support the HR & Admin Manager in a wide range of human resource and administrative functions, playing an important role in ensuring smooth HR operations and providing efficient support to both employees and business needs. This role requires someone who is independent, meticulous, and able to work in a fast-paced environment with tight deadlines, while maintaining a strong service excellence mindset.

Key Responsibilities

Human Resources & Payroll Support

• Maintain and regularly update employee records, personnel files, and HR databases accurately
• Support end-to-end onboarding processes, including workstation setup, stationery, uniforms, and PPE (where applicable)
• Assist in work pass applications, renewals, and cancellations
• Post and maintain job advertisements across relevant recruitment platforms
• Coordinate training activities, including course registration, approvals, scheduling, post-training evaluation, and record maintenance
• Assist in monthly payroll processing, including data preparation, verification of attendance/claims, and ensuring timely and accurate payroll submission
• Administer insurance claims processing (submission, follow-up, and coordination with insurers)

Administrative & Office Support

• Coordinate meetings, company events, and other staff engagement activities
• Manage office maintenance and housekeeping, including copiers, air-conditioners, water dispensers, and related equipment
• Provide general administrative support and perform ad-hoc duties as assigned by the Manager

Job Requirements

Minimum Qualifications

• Diploma in Human Resource Management or equivalent
• 1 year of HR-related experience preferred

Skills & Competencies

• Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Knowledge of Unit4 Prosoft HRMS will be an advantage
• Good understanding of the Singapore Employment Act and local labour regulations preferred
• Experience in payroll processing will be an advantage
• Highly organised, meticulous, and able to work independently
• Proactive with strong initiative and a sense of urgency
• Able to perform under pressure in a fast-paced environment
• Strong interpersonal and communication skills, with a service-oriented mindset

As an HR Executive, you will handle two core HR functions: monthly payroll processing and recruitment for Executive & Manager level roles.
You will support the HR team in ensuring payroll runs accurately each month while also managing hiring processes for mid-level roles across the business.
This is a full-time, permanent role based in Singapore within an established industrial & manufacturing environment.

WHAT YOU’LL BE DOING

• Process monthly payroll accurately & on time
• Maintain payroll records, employee data, and related documentation
• Coordinate with internal stakeholders on payroll matters and adjustments
• Manage end-to-end recruitment for Executive & Manager level positions
• Post job ads, screen candidates, and coordinate interviews with hiring managers
• Prepare employment documents such as offers and onboarding paperwork
• Support general HR administration and employee record management

WHAT IS NEEDED FROM YOU

• 3–6 years HR experience, with exposure to payroll processing
• Prior experience handling recruitment for mid-level roles
• Familiar with HR processes, documentation, and employee records
• Comfortable coordinating with hiring managers and internal stakeholders
• Organized and detail-oriented, especially with payroll data
• Able to work independently in a small HR team=

WHAT WILL MAKE YOU STAND OUT

• Experience processing monthly payroll independently
• Chinese proficiency for internal & external stakeholder communication
• Prior recruitment experience for Executive & Manager level hires
• Experience working in manufacturing, industrial, or operations environments
• Stable work history and ability to work with minimal supervision

Job Responsibilities:

• Prepare full set of financial statements
• Process and manage daily AR, AP, GL functions
• Prepare monthly and quarterly management reporting
• Liaise with auditor, tax agent and company secretary
• Able to handle financial and management reporting
• Able to perform tax computations (is a plus), CPF and GST submission
• Payroll/HR duties
• Transfer data using software tool from in-house ERP to Sage

Job Requirements:

• ACCA/Diploma/Degree in Accounting
• Min 5 years of relevant working experience preferably in Shipping industry
• Knowledge of Sage ERP/ ACCPAC is a plus
