Job Summary
You will support accounting and HR functions by maintaining accurate records, assisting recruitment and onboarding, managing office supplies, and providing administrative support to ensure smooth daily operations.
Responsibilities
- Report directly to the Senior Accountant and HR Specialist to complete assigned tasks accurately and timely
- Digitally store and update bookkeeping data annually to maintain organized financial records
- Reorganize and consolidate employee bio files by merging duplicates into a single, accessible location
- Maintain accurate HR system records (Info-Tech) for payroll, leave, claims, and attendance to support payroll processing
- Support recruitment by posting job openings, scheduling interviews, and coordinating with Hiring Managers and Senior HR staff
- Prepare official HR documents such as appointment, employment, and increment letters with attention to detail
- Facilitate onboarding and offboarding by updating HR systems, managing internal Excel files, issuing equipment, and arranging seating
- Provide administrative support to the Accountant for accounts-related tasks to ensure smooth financial operations
- Manage procurement of office supplies including uniforms, stationery, and consumables to maintain office readiness
- Manage and maintain the company mailbox to ensure timely handling of correspondence
- Answer incoming phone calls and transfer them to the appropriate departments promptly
- Assist with general accounting and HR administrative duties and perform ad hoc tasks as assigned
- Uphold employee confidentiality and adhere to the Non-disclosure Agreement to protect company information
