Onboarding & Employee Lifecycle Support

• Manage the inventory and distribution of employee essentials (uniforms, lockers, ID badges).
• Facilitate onboarding documentation, ensuring compliance forms and Employee Handbooks are issued and processed.
•  Maintain accurate, well-organized personal files for our Direct Labor workforce.

Employee Welfare & Engagement

• Bethe heart of our culture by coordinating company events, bazaars, and wellness talks.
• Manage welfare initiatives, including coordinating statutory medical check-ups and arranging employee gifts (newborn, hospitalization, condolences).
• Process weekly and monthly vendor payments related to cafeteria and staff welfare.
• Manage company transport administration, including coordinating company transport arrangements and handling all billing matters.
• Manage the daily issuance of taxi vouchers, accurately track expenses, compile comprehensive monthly reports, and ensure timely vendor payments.

HR Operations & Reporting

• Compile monthly union reports and coordinate smoothly with the Payroll team.

Guest Relation & Front Desk Administration  

• Reception Management: Serve as the first point of contact,warmly welcoming visitors, managing the reception area, and issuing visitorpasses in compliance with security guidelines.
• Mail & Logistics: Oversee the efficient sorting and distribution of all incoming mail,packages, and courier deliveries.

About you:

• Diploma in Human Resource Management, Business Administration, or a related discipline.
• Minimum 2–3 years of relevant experience in office administration or an HR support role;experience within a manufacturing environment is highly preferred.
• Excellent interpersonal and communication skills.
• Strong organizational skills to handle data tracking, reporting, and vendor payments.
• Proficient in Google / MS Office applications.
• Ability to multitask effectively in a dynamic environment.

Job Purpose:

• To provide administrative and HR support within Company’s policy and procedure as well as engaging the staff at all levels to contribute to the achievement of the Company’s strategic goals.

Responsibilities:

• Providing comprehensive administrative support, including filing, data entry, and document management.
• Answer phone calls, transfer them and take messages for the right department.
• Coordinate with vendors for the procurement, maintenance, and renewal of services and equipment such as water filtration, floor mats, indoor plants, cleaning services, and staff transportation.
• Prepare and process monthly food voucher distribution for eligible staff.
• Monitor and replenish pantry and stationery supplies.
• Support in monthly payroll, including attendance checking and overtime processing.
• Source and administer training needs (sourcing, administration & registration).
• Assist in the application, renewal, and cancellation of work passes.
• Liaise with vendors on dormitory issues.
• Plan and organize employee welfare/engagement activities/ company events.
• Any ad-hoc activities within HR and Admin functions as assigned by HR Manager, from time to time.

Qualifications & Skills:

• Diploma in Human Resource Management / Administration / Business Studies
• Minimum 1-2 years of experience in an administrative or HR support role
