Role Summary

The Senior HR Executive supports day‑to‑day HR operations for KWE‑APLL Technology Services, with a strong focus on HR process automation, workflow optimisation, and data accuracy. Reporting to the HR Manager, the role is responsible for ensuring efficient employee lifecycle management while actively designing, implementing, and maintaining automated HR processes using tools such as Power Automate and digital forms.

Key Responsibilities

1. HR Operations & Employee Lifecycle

• Execute end‑to‑end onboarding and offboardingprocesses, including documentation, system updates, and coordination withinternal stakeholders
• Maintain accurate and up‑to‑dateemployee records in HR systems, SharePoint lists, and digital filing systems
• Prepare HR documentation such as employmentcontracts, confirmation letters, and HR correspondence

2. HR Automation & Process Improvement

• Design, build, and maintain HR automationworkflows using tools such as Power Automate, Microsoft Forms, SharePoint, and HR systems

• Review existing HR processes to identify opportunities for automation, simplification, and standardisation
• Troubleshoot, test, and improve automation flows to ensure reliability and data integrity
• Partner with the HR Manager to support ongoing HR system enhancements and digital initiatives

3. Work Pass & Statutory Administration

• Manage work pass applications, renewals, cancellations, and related submissions with government authorities
• Ensure compliance with employment regulations and statutory requirements

4. Payroll & Vendor Coordination

• Liaise with external payroll vendors to support monthly payroll processing
• Compile and verify payroll inputs, including new hires, resignations, leave, claims, and variable payments
• Follow up on payroll discrepancies and address payroll-related employee queries

5. HR Data & Reporting

• Support HR data entry, validation, and HR analytics
• Maintain structured data sources (e.g.SharePoint lists, spreadsheets) that support automated workflows
• Prepare operational HR reports as required

6. General HR Support

• Provide operational and administrative support to the HR Manager
• Serve as a first point of contact for employee HR queries, ensuring timely and professional responses
• Support the maintenance of the company’s LinkedIn page, including coordination of content updates and basic page administration.

Key Responsibilities

• Handle all incoming calls, transfer, take down and pass message to relevant department
• Assist in general administrative/clerical support (typing, printing, filing, mailing, courier etc)
• Renew and follow up on insurance policies, infrastructure permit and certification
• Liaise with vendors on the renewal, purchase, maintenance and other enquiries of equipment, machinery, devices and assets
• Raise PO in SAP system
• Assist in staff attendance and HR purchases
• Record & maintaining of staff leave record, staff particulars
• Assist on recruitment process such as application form preparation and related matters
• Assist in company’s function, employee welfare, events and any ISO & GMP support
• Assist in HR and ISO guidelines, policy and documentation
• Prepare and liaise any necessary for new incoming employees for orientation, PC access etc
• Packing for courier item and assist in making courier arrangement
• Prepare and record minutes of meeting for monthly departmental and ISO meeting
• Arrange and follow up on employees training & courses
• Arrange, update and schedule annual check-up for employment matter
• Any other tasks and duties assigned by the Management and HR Department

Job Description:

Payroll Support

• Assist in inputting and updating employee details, managing government claims, and ensuring that all relevant payroll data is accurate.

• Provide assistance in payroll processing, handle CPF contributions, and support the timely management of payroll payments.

• Assist in overseeing bonus provisions, month-end/year-end payroll closing, and the submission of IRAS Tax Declaration Annual Form.

• Help in the generation and distribution of pay slips to employees, ensuring that all information is accurate and reflects the correct pay and deductions.

• Address employee payroll inquiries, providing support to ensure accurate and timely resolution of payroll-related issues.

KPI & Performance Management

• Manage and calculate monthly Key Performance Indicator (KPI) metrics for employees as part of their monthly payroll processing.

• Coordinate the Total Performance Management (TPM) exercise, including analysis of bell curves by family groups, job bands, and departments.

Recruitment & Talent Management
