Duties and Responsibilities

·      Manage daily library operations, including resources, systems, and circulation services

·      Support library programmes, user services, and literacy initiatives

·      Supervise students and maintain a safe, conducive learning environment

·      Administer and monitor Late-Coming (LC) records and student data

·      Coordinate and supervise detention, suspension, and student management processes

·      Maintain accurate documentation, reporting, and follow-up actions

·      Provide administrative support, including budgeting, resource coordination, and compliance with school policies

·      Other duty as assigned under Student Affairs& Services Department

Job Requirements

·      Nitec or its equivalent from the Library Association of Singapore

·      Working experience in a similar capacity, preferably in a secondary school environment

·      Experience in using the Spydus system will be an added advantage

·      Ability to supervise students firmly and professionally

·      Proficiency in spreadsheets and administrative tools

·      Working Hours: 9 am - 6.30 pm (Mon to Thu) and 9 am - 6 pm (Fri)

Key Responsibilities

1. Accounts & Bookkeeping

* Accounts Payable/Receivable: Process incoming invoices, issue client billings, and follow up on outstanding payments.

* Expense Management: Track project-related expenses and manage staff claims.

* Data Entry: Maintain accurate financial records.

* Reporting: Assist the management team with monthly cash flow summaries and basic financial reporting.

2. Technical Drafting (AutoCAD)

* Drawing Revisions: Edit and update existing .dwg files based on engineer/designer feedback.

* Document Control: Manage the version history of technical drawings to ensure the team is always working from the latest set.

* Format Conversion: Convert CAD files to high-quality PDFs or other formats for client submittals.

3. Office Administration

* Client Liaison: Act as the first point of contact for clients, vendors, and contractors.

* Project Documentation: Organize permit applications, site reports, and project folders.

* General Support: Manage office supplies, scheduling, and general correspondence.

Accounting

Experience in admin accounting basic understanding of GST/VAT/Sales Tax, and bank reconciliation.

Technical

Proficiency in AutoCAD (2D).

Software

Microsoft Excel (Intermediate to Advanced), Word, and PDF Editors.

High attention to detail, ability to self-manage, and discretion with sensitive financial data.

Required Qualifications

* 2+ years of experience in a combined Administrative and Accounting role.

* Proven proficiency in AutoCAD (please be prepared to show a portfolio or complete a short test).

* Experience in the Construction, Engineering, or Manufacturing industries is highly preferred.
