Job Summary

We seek a Tender & Project Administrator to manage tender submissions and coordinate project activities, ensuring organized communication and documentation across stakeholders in a growing construction and engineering company.

Responsibilities

• Prepare and complete tender submission forms accurately to meet client requirements
• Compile and organize company documents, certifications, and supporting information for tender submissions
• Upload and submit tender documents through client portals within deadlines
• Maintain and update the tender register and submission schedule to track progress
• Monitor tender deadlines, briefings, and site showrounds to ensure timely participation
• Coordinate tender-related documentation with Quantity Surveyors and management teams
• Schedule project meetings and appointments to support project timelines
• Facilitate communication between Project Managers, Quantity Surveyors, clients, and subcontractors to ensure smooth project coordination
• Maintain comprehensive project records and filing systems for easy retrieval and compliance
• Prepare meeting minutes and action trackers to document decisions and follow-ups
• Monitor project documentation and submission requirements to ensure completeness and accuracy
• Perform general office administration tasks to support daily operations
• Manage data entry and document management to maintain accurate records
• Support management with operational coordination to enhance workflow efficiency

Preferred competencies and qualifications

• Prior experience in construction, engineering, project administration, or tender administration is an advantage
• Ability to manage multiple deadlines effectively
• Proficiency in Microsoft Excel, Word, Outlook, and PDF editing tools

We are a growing construction company specializing in civil works, interior decoration, renovation and fit-out projects.

We are looking for a hands-on Quantity Surveyor to support tendering, pricing, and commercial coordination in a small team environment.

This role is suitable for a Junior to Mid-level QS who wants strong exposure to contractor-side tendering and project cost control.

Key Responsibilities

Tender & Pricing

• Attend all tender briefings, site show-rounds, and clarification meetings

• Review tender drawings, specifications, and requirements

• Carry out quantity take-offs and rate build-ups

• Source and manage subcontractor and supplier quotations (minimum 2 quotes where possible)

• Prepare tender cost summaries, comparison sheets, and pricing breakdowns

• Coordinate tender clarifications and addenda

• Compile and ensure complete and on-time tender submission (hardcopy / e-submission)

Commercial & Cost Control

• Assist with variation orders (VO) preparation and supporting documents

• Maintain proper records of quotations, assumptions, exclusions, and approvals

• Support basic subcontractor claim checking and cost tracking

• Coordinate with PM and management to avoid missing scope or cost items

Coordination

• Work closely with Project Managers on site scope and technical clarifications

• Attend site visits when required to ensure accurate pricing

• Follow up actively with subcontractors and suppliers to meet deadlines

Requirements

Must-have

• Degree in Quantity Surveying / Building / Construction Management or related field

• 1–3 years experience in QS / pricing / contractor-side work

• Experience or strong exposure in civil works / interior decoration / renovation / fit-out

• Able to read architectural and civil drawings confidently

• Proficient in Excel and Autocad (mandatory)

• Organized, detail-oriented, and able to work independently

• Comfortable working in a small team environment

Good-to-have

• Knowledge of electrical works (advantage, not required)

• Experience with institutional / commercial projects

• Familiar with e-submission platforms and tender portals

Working Arrangement (WFH Policy)

• Hybrid working arrangement

• Work From Home is allowed on selected days, subject to work schedule

• WFH is NOT applicable on days with tender briefings, site visits, or tender submissions

• Candidate must be flexible to attend office and site when required

The Governance & Awareness Specialist drives enterprise-wide cybersecurity awareness and governance reporting to reduce human cyber risk. The role designs and delivers a risk‑based security awareness programme, measures and improves employee behaviour, and provides governance oversight to ensure GISO documentation and management reporting are accurate, consistent, and decision‑ready.

Key Job Accountabilities:

• Identify top human cyber risks and define required behaviour changes to mitigate those risks
• Design, implement, and continuously improve a risk-based cybersecurity awareness program, incorporating employee feedback
• Plan and execute simulated phishing campaigns and targeted awareness initiatives to drive measurable and sustained employee behaviour change
• Develop and manage a metrics framework to track compliance, employee behaviour, and program effectiveness
• Produce high‑quality management reporting using a single source of truth to support risk ownership and decision‑making
• Create clear, engaging security communications, training materials, and internal awareness content
• Partner with Corporate Communications function to deliver regular, targeted messaging that reinforces a strong security‑aware culture
• Coordinate governance oversight of GISO policies, standards, and guidelines, working with subject‑matter experts to ensure timely reviews and updates
• Manage GISO intranet content to ensure information is accurate, current, and easily accessible
• Liaise with internal and external auditors on cybersecurity-related matters as required
• Support Risk & Assurance function on cyber risk activities (e.g. CMMC, Control Self-Assessments) as required
• Monitor emerging threats and trends to ensure awareness content remains relevant and timely

Reporting Line:

• This position reports to the Group Chief Information Security Officer (GCISO)

Required Experience and Qualifications:

• Degree in Communications, Marketing, Psychology, or a related discipline (or equivalent experience)
• Minimum 3 years’ experience in security awareness, communications, marketing, or related roles
• Demonstrated ability to translate complex technical concepts into clear, practical guidance for diverse audiences
• Strong stakeholder management and influencing skills across business units and enabling functions
• Experience working with HR, Risk, Audit, and business stakeholders
• Hands-on experience with Microsoft M365 and Power BI
• Experience with Learning Management Systems (LMS), content authoring, and training delivery platforms
• Solid project management skills, including planning, execution, and outcome measurement
• Strong judgment, prioritisation, and attention to detail
• Candidates with no experience but good academic records can be considered
