Key Responsibilities

Training Management

• Leads the training department with clear direction, inspires trainer performance, and drives collective accountability for learner outcomes.

• Builds productive relationships with clients, regulatory bodies, and internal teams; responds professionally to stakeholder needs and expectations

• Uses data and performance metrics to evaluate training effectiveness, identify gaps, and continuously improve programme quality.

• Conduct trainer briefings, “train-the-trainer” sessions, and onboarding for newly assigned trainers.

• Conduct trainer observations to obtain feedback for improvement

• Allocate classrooms and deploy trainers based on intake sizes and subject expertise.

• Financial management, e.g. Submission of training hours to payroll department

• Demonstrates working knowledge of SSG, WSQ, SPF, SCDF, SFA and other frameworks to ensure full compliance in training delivery and documentation.

Facilities & Assessment Management

• Coordinate with assessors and manage assessment schedules.

• Prepare assessment props, rooms, and learner familiarisation sessions in line with SOPs.

• Ensure proper functioning of equipment (HHMD, Walk‑Through Metal Detectors, X‑ray machines, traffic wands).

• Oversee setup for specialized assessments such as XRay and CSSPB.

• Manage attendance tracking, QR code verification, and assessor processes.

• Provide learner care support for those assessed as Not Yet Competent (NYC), including reassessment arrangements.

• Compile weekly assessment results and attendance records for submission.

• Ensure classrooms & assessment rooms are properly equipped, clean, and conducive for training.

Post‑Assessment & In‑House Assessments

• Document assessment outcomes and maintain NYC records.

• Safekeep and replenish props, files, and assessment materials.

• Prepare and conduct in‑house assessments including assessment booklets, case studies, and SOA certificates.

• Ensure compliance with SSG reporting and audit requirements.

Training Materials & Equipment Management

• Maintain and perform regular updates for facilitator and learner guides, worksheets, and presentation slides.

• Conduct class audits to ensure trainers use updated materials.

• Manage training props, files, and specialised equipment (SIMFOX laptops, tablets, handphones).

• Troubleshoot technical issues during lessons and assessments.

Requirements

• Diploma or bachelor's degree in training, education, or related field. 

• TAEPP registered. ACTA/ACLP compulsory. DACE/DDDLP will be an advantage.

• Minimum 5 years of experience in training operations, assessment management, or programme compliance.

• Advanced knowledge of Microsoft Office (Excel, Word and PowerPoint)

• Strong leadership and organisational skills with attention to detail.

• Comfortable using LMS & TMS platforms, TPGateway, and learning technology tools to improve training delivery, administration, and reporting.

• Familiarity with POLWEL requirements is an advantage.

• Excellent communication and problem‑solving abilities.

Key Responsibilities:

1. Programme Development & Support

• Plan, manage and support professional development programmes, ensuring they are impactful, engaging, and aligned with the training needs of the Singapore in-house community.
• Oversee the smooth execution of on-site and virtual events, providing administrative, logistics and technical support.

2. Marketing & Outreach

• Programme promotion through creative marketing initiatives, including the design of visuals and simple video content using Canva or similar tools, in consultation with the Marketing & Communications team
• Collaborate with the Marketing & Communications team to drive engagement and increase participation across SCCA’s professional development programmes, to ensure that projected numbers are met.

3. Stakeholder & Member Engagement

• Main liaison for any query pertaining to SCCA’s professional development programmes, i.e. SCCA Members, public, sponsors, knowledge partners.
• Build positive relationships with participants, speakers, sponsors and knowledge partners to strengthen SCCA’s professional development ecosystem.

4. Programme Administration & Reporting

• Maintain accurate records, documentation, and database for all professional development programmes, including post-programme evaluation, budget planning and tracking, procurement, engagement with knowledge partners, sponsorship agreement.
• Prepare regular reports and statistics, including finance reports with basic analysis, to support decision-making and programme evaluation.

5. General Administration & Support

• Provide administrative and operational support as required, contributing to the overall efficiency and success of the Professional Development team.

Key Qualifications:

• Degree/Diploma in a related discipline.
• 2-5 years of relevant working experience in training, events, education, or professional development.
• Strong organisational skills with the ability to manage multiple projects.
• Excellent written and verbal communication skills.

Position Summary

The candidate will play an important role in driving research administrative excellence, managing research collaborations and grants in Operations Research and Analytics (ORA) at IORA. This role will be the key administrative point of contact for research teams, partners, and stakeholders, and will lead process improvements across research and programme management functions.

Key Responsibilities

1. Research Administration, Collaboration & Grant Management

• Lead and oversee research administration activities within IORA, ensuring robust processes for research collaborations, industry partnerships, and compliance with NUS and funding agency requirements.
• Drive and coordinate research grant applications: Advise and support PIs and research teams in grant identification, application preparation, internal reviews, timely submission, and post-award administration.
• Monitor and manage grant portfolios: Oversee financial tracking, milestone monitoring, progress reporting, and compliance for all active research grants and collaborative projects.
• Serve as the primary administrative liaison with academic, industry, and funding partners for research collaborations, ensuring effective communication, documentation, and issue resolution.
• Supervise procurement, HR administration, and claims related to grant-funded activities; optimise processes for onboarding research staff, faculty, and students.
• Maintain oversight of research records, partnership agreements, and audit documentation for internal and external reporting.

2. Operations and Event support

• Organise event and seminar planning for IORA, including industry engagement events, workshops, and research seminars, ensuring effective resource allocation and logistics.
• Drive process improvements and digital transformation in research administration and programme management functions.

4. Leadership, Reporting & Compliance

• Compile, review, and submit management reports on research activities, grants and compliance for audits and strategic planning.
• Champion best practices in research integrity, data management, and regulatory compliance across all administrative processes.
• Represent IORA in meetings with internal and external stakeholders on matters related to research administration, grants, and postgraduate programmes.

Qualifications and Requirements

• Bachelor’s degree, preferably with further professional qualifications in research administration, business, or higher education management.
• At least 7 years’ relevant experience, with proven expertise in research administration, grant management, and postgraduate programme operations (ideally within a university or research institute).
• Strong leadership, interpersonal, and communication skills, with experience supervising staff and managing cross-functional teams.
• Excellent organisational, analytical, and problem-solving abilities.
