Education & Qualifications

- Diploma/Degree in Business, Supply Chain, or related field.

- Strong knowledge of ERP systems (SAP/Oracle or equivalent) and Microsoft Office.

The Administrative Executive will be responsible to the Centre Leader for all administrative details related to the day-to-day operations of the centre and provide customer care services to students and their parents during their stay with the school.

Job Roles & Responsibilities

1. Administration:

Support the centre with data entry of child transactions into Little Lives and ECDA CMS system. This includes:

• Child Transactions: Enrolment, Withdrawal, Transfer, Change of Program, Student Pass Application, Promotion of Children

• Subsidy applications in CMS for all new and existing cases

• Update of school fees changes in CMS at child level (yearly)

• Update of vacancy status in CMS

• Retrieval of documents for audit purpose

• Handles queries from existing and new parents and provide support whenever needed

• Liaise with both external and internal stakeholders such as ECDA subsidy officers, licensing officers, financial assistance officers to facilitate and resolve enrolment and subsidy/financial assistance application issues

• Responsible for proper storage of stationary and uniforms

• Perform general clerical duties

• Support operational work flow

• Upkeeping of children's P file

2. Enrolment:

• Maintaining a waiting list, calling parents up for enrolment when a vacancy arises

• Follow up with parents on the documents needed for enrolment

• Planning of orientation sessions for new enrolment

3. Finance:

• Issuing of ad-hoc invoices, e.g. first-time payment, uniforms purchase etc

• Checking of monthly fee invoices

• Creating of monthly GIRO deduction listing, updating of monthly payment

• GSII monthly reconciliation

• Adding the correct subsidies discount for each child

• Follow-up on discrepancies for any over-payment or under-payment of subsidy as well as subsidies adjustments in CMS

• Petty cash handling

4. Customer Service

• Meet and greet parents, students and visitors at the school

• Provide proper information about school fees and programs

• Handle calls/emails/walk-ins enquiries from existing and new parents

• Taking charge of the centre's inbox

5. Procurement

• Purchase items from suppliers for capital expenditures, kitchen, stationery, events, etc Prepare Expenditure Requisition Forms and obtain price quotations from suppliers

Job Requirements

• Minimum 3 GCE ‘O’ levels with at least B4 in English and credit in a second language

• At least 2 years of experience in an administrative role

• Good interpersonal skills, able to relate to people from different culture and languages

• Good written and verbal communication skills

Job summary:

Be the first point of contact for parents and students at our Yishun outlet, manage enrolment and scheduling across all three outlets, coordinate monthly billing processes, and ensure each outlet is operationally ready through regular visits.

Job Responsible:

1. Outlet Operations — Yishun (Daily)

• Open and close the outlet; ensure the centre is clean, ready, and well-stocked daily
• Greet and attend to walk-in parents and students, handling enquiries with warmth and professionalism
• Manage student attendance records and update class registers
• Handle trial class bookings, follow-up calls, and enrolment onboarding
• Liaise with teachers on scheduling, class materials, and classroom needs
• Manage the centre's shared WhatsApp number — responding to parent queries from all three outlets in a timely manner

2. Multi-Outlet Coordination (Weekly Visits)

• Visit Hougang/Midtown and Khatib outlets once or twice weekly to conduct operational checks
• Ensure each outlet is operationally ready — supplies, schedules, signage, cleanliness
• Coordinate with part-time staff and teachers at each branch on any operational matters
• Flag and escalate any issues to the founders promptly

3. Enrolment & Scheduling

• Manage student enrolment, withdrawals, and level/class changes across all outlets
• Coordinate makeup class scheduling — matching student requests with available slots and informing all parties
• Maintain accurate and up-to-date student records in the management system

4. Billing & Finance Administration

• Prepare the monthly billing spreadsheet accurately (student fees, adjustments, makeup credits)
• Reconcile incoming payments against invoices in Xero using bank feeds
• Follow up with parents on outstanding payments via WhatsApp in a professional and courteous manner
• Flag overdue accounts to the founders; liaise with our outsourced accountant when required

5. Parent Communication & Relations

• Serve as the primary point of contact for parent enquiries across all channels (walk-in, phone, WhatsApp)
• Communicate class updates, schedule changes, and centre announcements to parents promptly
• Handle feedback and complaints with empathy; escalate where needed
• Solicit and encourage Google reviews from satisfied parents

Requirement:

• Minimum GCE O-Level / Diploma; any discipline

Position Summary

The Call Centre Executive ensures that all communications relating to the hotel both external and internal are actioned efficiently in a professional and courteous manner and in line with Hilton and the hotel policies and procedures during the assigned shift.

What will I be doing?

As the Call Centre Executive, you will be responsible for performing the following tasks to the highest standards:

• Actively seeking verbal feedback from customers and team members at every opportunity.

• Ensure that we provide on time wake-up call services for hotel guests.
• Knowledgeable of Hilton’s departmental standards and run the Telecommunication Centre as a Communications Centre according to brand standards, explaining standards to the team, assess their performance against these standards and monitor standards through regular standards review checks.
• Familiar with hotel operating system especially OnQ PM, Kipsu, HotSOS, PBX, table management system and Micros system.
• Take on an active role in the team by being kind, cooperative, and helpful and never forgetting the person behind the guest.
• Record all equipment and be familiar with the system and functions, resuming the role as the person in charge of the section during the absence of the Communications Manager.
• Describe, assign and delegate duties and authorities for the operation of the department at all times.
• Knowledgeable of hotel and departmental KPIs especially SALT and Hilton Honors enrolment. Assisting Communications Manager to drive result to the maximum.
• Plan and coordinate with the team, ensure adequate resources are available.
• Coordinate with relevant departments to ensure request is followed-up and ensures follow-up procedures are maintained.
• Communicate effectively with the F&B and Culinary teams to ensure in-room dining quality is as per hotel standard.
• Be completely familiar with all emergency procedures and the fire system, ensuring that all Communications team members are familiar with the procedures too.
