About the Role

We are looking for an organised and reliable PropertyOperations & Leasing Admin Executive to support the day‑to‑day runningof our co‑living studio portfolio. This role is hands‑on and involves maintenancecoordination, tenant onboarding, and leasing administration. You will workclosely with the Director and be a key part of keeping our units safe, well‑maintained,and tenanted.

This role does not require CEA registration. All leasingtasks are administrative/logistical.

Key Responsibilities

Property Maintenance & Facilities

• Coordinate vendors (cleaning, aircon, pest control, handyman, locksmith) and check completed work
• Maintain a compliance/servicing calendar across all units
• Conduct or schedule periodic unit inspections and flag safety issues
• Manage keys/access codes and coordinate access for tenants and vendors

Tenant Onboarding

• Arrange move‑in/move‑out logistics and condition checklists
• Prepare welcome packs and maintain tenant records
• Support deposit reconciliation (data gathering only)

Leasing Administration

• Update PropertyGuru/EdgeProp listings (content provided)
• Handle first‑line enquiries on availability, pricing, and unit specs
• Schedule and confirm viewing appointments
• Maintain enquiry and listing‑performance trackers

Requirements

Qualifications

• Minimum N/O‑Level or equivalent
• 1–2 years’ experience in admin, customer service, hospitality, or operations
• Candidates with 3–4 years’ experience in property management/co‑living/facilities admin are welcome
• Singaporean/PR preferred

Skills & Competencies

• Proficient in Excel/Google Sheets (tracking, basic formulas)
• Strong organisational and multitasking skills
• Clear written and spoken English
• Comfortable using WhatsApp and basic listing platforms
• Basic spoken Mandarin (for vendor/tenant communication)

Physical Requirements

• Able to travel independently between units for inspections/viewings
• Able to conduct physical walkthroughs (stairs, minor lifting)
• Willing to support occasional after‑hours/weekend urgent issues

Responsibilities

• Schedule and oversee preventive maintenance, inspections, and repairs to ensure building systems operate efficiently and safely

Required competencies and certifications

• Diploma in Facilities Management, Building Services, or related field
• Minimum 3 years of experience in property or facilities management
• Knowledge of building systems, safety regulations, and vendor management

• Strong coordination, communication, and problem-solving skills demonstrated through managing property operations and stakeholder interactions

Job Description

Responsible for managing and overseeing the day-to-day operations of residential property. This role involves ensuring the properties are well-maintained, compliant with regulations, and meeting the needs of residents and stakeholders.

• Oversee the maintenance and upkeep of the property, ensuring it is clean, safe, and well-presented.
• Coordinate and supervise maintenance works, including preventive maintenance and repairs.
• Liaise with contractors and service providers, ensuring quality and timely delivery of services.
• Conduct regular inspections of the property to identify and address issues.
• Serve as the primary point of contact for residents, addressing their concerns and requests promptly.
• Handle residents’ inquiries, complaints, and emergencies, providing effective solutions.
• Ensure the property complies with all relevant laws, regulations, and building codes.
• Manage and maintain proper documentation and records for regulatory inspections and audits.
• Implement and oversee safety and security protocols.
• Maintain accurate records of property management activities, including maintenance logs, tenant communications, and financial transactions.
• Prepare and submit reports to the Property Manager and relevant stakeholders.
• Assist in the preparation of meeting agendas and minutes for management committee meetings.

Requirements:

• Diploma or degree in Real Estate Management, Property Management, Facilities Management, or a related field
• At least 2-3 years of experience in property management or a related role
• Well versed in the BMSMA Act.
• Excellent communication and interpersonal skills
• Strong organizational and problem-solving abilities
• Proficiency in Microsoft Office and property management software
