Practice Area Opportunities

Successful candidates may be assigned to support lawyers in one of the following practice areas, depending on experience and business needs:

Personal Injury & Property Damage (PIPD)

• Road traffic accident claims
• Workplace accident claims
• Public liability matters
• Insurance-related disputes

OR

General Disputes Practice

• Civil litigation
• Criminal law matters
• Family law matters

Candidates with experience in either practice area are encouraged to apply.

Responsibilities

• Support lawyers in the management and conduct of litigation matters from inception to resolution
• Prepare, review, and organise legal documents, correspondence, court filings, and supporting records
• Monitor court timelines, hearing dates, filing deadlines, and procedural requirements
• Liaise with clients, courts, opposing counsel, insurers, government agencies, experts, and other stakeholders
• Conduct legal and factual research, preparing case summaries, chronologies, and briefing materials
• Review, organise, and manage documentary evidence, reports, records, and supporting materials
• Assist in the preparation of hearings, mediations, pre-trial conferences, assessments, and trials
• Maintain accurate physical and electronic case files while ensuring confidentiality and compliance with legal procedures

Requirements

• Prior experience as a Paralegal, Legal Executive, Legal Secretary, or in a litigation support role will be advantageous
• Candidates with internships, attachments, or academic qualifications in Law, Legal Studies, or related disciplines are welcome to apply
• Strong organisational skills with the ability to manage multiple matters, deadlines, and competing priorities
• Excellent written and verbal communication skills with strong attention to detail

Roles and Responsibilities

You will provide administrative support to the Corporate Secretarial team, assisting with documentation, filings, coordination with internal stakeholders, and general office administration matters.

JOB RESPONSIBILITIES

1. Mail & Bank Statements

• Arrange for the re-direction of mails including scanning and liaising with clients.

• Arrange for the collection and sorting of daily mail for the respective departments.

• Assist in the scanning of bank statements and other related documents for clients with accounting work with us.

• Assist in the scanning of standard letters or correspondences e.g. letters from IRAS, SBF etc.

2. Secretarial Services

• Assist in the scanning of corporate documents for all transfer in clients including the updating of Viewpoint.

• Assist the Team in requesting for Certificate of Incumbency/Good Standing/Company Search Reports for various jurisdictions.

• Assist the Team in arranging for certification/ notarisation of documents.

• Assist the Team with bulk updating of time charges, disbursements etc. in Viewpoint.

• Handle the complete procedure for closed files based on the File Closure Checklist.

3. CDD and Sentroweb

• Updating of individual/corporate profiles in Sentro web for screening including google and other public searches.

• Maintain and follow up with PICs for cases due for CDD reviews and updated identification documents.

• Maintain and follow up with PICs for any alerts from Sentroweb On-Going Monitoring Reports.

• Monitor the completion of the Risk Assessment Review by PIC within 14 days from the appointment of our services.

Job Scope

• Support the contract lifecycle by triaging requests to appropriate legal reviewers, and managing both e-signature and manual execution processes
• Proof read legal documents
• Ensure signatures are complete and authorized, and upload fully executed agreements promptly into the contract management system.
• Conduct basic due diligence and fact-checking tasks to support legal matters and prepare summaries or reports as directed.
• Help maintain regional entity filings and records, coordinate with internal teams on routine corporate updates, and ensure timely updates to the entity management system.
• Learn and assist in the use of the contract management system; help answer user questions under supervision on a regular basis.
• Provide translation support (English/Chinese) and assist with reviewing translated documents
• Perform administrative and clerical tasks such as document filing, e-filing, documents submission, mails, and general coordination.
• Take on other tasks or projects assigned to support the legal team and G&A

Requirements

• Currently pursuing or completed a degree in law, Legal Studies, Business Administration, or a related field
• Prior experience working in a law firm or the in-house legal department of a multinational company performing similar duties is definitely an advantage
