Job Summary
Provide comprehensive secretarial and administrative support to the President, ensuring efficient daily operations, effective communication, and seamless coordination of meetings, travel, and business engagements.
Responsibilities
- Deliver comprehensive secretarial and administrative support to the President to ensure smooth daily operations and effective time management
- Manage the President’s calendar, appointments, meetings, and business schedules by prioritizing commitments and coordinating changes as needed
- Prepare, draft, review, and consolidate presentations, reports, meeting materials, correspondence, speeches, and other business documents in both English and Mandarin
- Facilitate communication between the President and internal/external stakeholders to ensure effective coordination, information flow, and timely follow-up on key matters
- Coordinate and follow up with internal departments and regional offices on key initiatives, management instructions, and action items to ensure timely execution
- Organize and support management meetings, executive committee meetings, conferences, and business reviews by preparing agendas, taking meeting minutes, and tracking follow-up actions
- Arrange and coordinate domestic and international business travel including flight bookings, accommodation, visa applications, itineraries, transportation, and travel logistics
- Support the President in business engagements, stakeholder communications, official visits, and external events by ensuring proper coordination and preparation
- Maintain filing and document management systems including document control, approvals, records management, and version tracking
- Handle confidential, sensitive, and strategic information with professionalism, integrity, and discretion
- Assist in special projects, corporate initiatives, and other assignments as directed by the President
Required competencies and certifications
- Bachelor’s degree or above in English, Chinese, Linguistics, Translation, Communications, Journalism, Public Relations, or related discipline
- Minimum 3–5 years of relevant experience as a Secretary, Executive Assistant, Personal Assistant, or similar role supporting senior executives
- Excellent written and verbal communication skills in both English and Mandarin, including drafting, proofreading, and preparing professional business documents
- Strong organizational, coordination, and time management skills to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong interpersonal and stakeholder management skills to communicate effectively across organizational levels
- High level of professionalism, integrity, maturity, and discretion in handling confidential and sensitive information
- Meticulous attention to detail and ability to work independently with minimal supervision
- Proficiency in Microsoft Office applications, especially PowerPoint, Word, Excel, and Outlook
- Proficiency in English and Mandarin to communicate and coordinate effectively with stakeholders
- Willingness to travel occasionally as required by business needs
Preferred competencies and qualifications
- Experience supporting C-suite executives, Presidents, CEOs, or Board members
- Experience working in a multinational corporation, regional headquarters, or matrix organization
