Company Overview

Our client is a well-established F&B group in Singapore with multiple outlets and a central kitchen. They are currently seeking a detail-oriented Admin Assistant (QA) to support maintenance coordination, procurement processes, and administrative operations.

Key Responsibilities

• Coordinate and follow up on maintenance requests and preventive maintenance for outlets and Central Kitchen
• Maintain proper records of service contracts, equipment, and maintenance documentation
• Generate and track maintenance schedules to ensure timely servicing
• Process Purchase Requisitions (PR) and Purchase Orders (PO), and liaise with finance on payments and related matters
• Coordinate and arrange dispatch of QA supplies to outlets
• Support documentation, filing, and administrative tasks related to QA and operations
• Perform ad-hoc duties as assigned by the manager

Requirements

• Minimum GCE ‘O’ / ‘A’ Level or Diploma in any discipline
• Preferably with some relevant administrative or coordination experience
• Good communication skills and ability to liaise with vendors, suppliers, and internal stakeholders
• Organised, detail-oriented, and able to manage multiple tasks effectively
• Proactive, responsible, and able to work independently as well as in a team
• Strong follow-up and time management skills
• Proficient in Microsoft Office (Excel, Word, Outlook)

Additional Information

• Experience in coordinating maintenance, procurement, or operations support will be an advantage
• Exposure to F&B or multi-outlet environments is a plus
• Training will be provided where necessary

• Source and communicate with suppliers and vendors to support procurement needs
• Prepare and process purchase orders, quotations, and invoices accurately to facilitate purchasing

• Maintain organized procurement documentation and filing systems for easy retrieval
