Admin Executive
We are looking for a reliable and meticulous Admin Executive to manage the day-to-day administrative operations of our office. The ideal candidate is organised, detail-oriented, and able to handle a wide range of administrative and support functions independently.
What You'll Do
Office Management
- Oversee general office operations and ensure a well-functioning workplace
- Manage and replenish office supplies as needed
Administrative Support
- Provide administrative support to management and staff
- Prepare and edit correspondence, reports, and presentations
- Manage calendars, schedule meetings, and arrange appointments
Document Management
- Maintain and organise both physical and electronic filing systems
- Handle data entry and ensure accurate and up-to-date records
- Ensure confidentiality and security of all documents and files
Communication
- Serve as the primary point of contact for internal and external communications
- Answer and redirect phone calls, take messages, and draft emails and correspondence
Accounting Administration
- Assist in the preparation of monthly payroll
- Handle invoicing, billing, and expense tracking
- Manage petty cash and maintain accurate bookkeeping records
Human Resources Support
- Assist with recruitment, including scheduling interviews and onboarding new hires
- Maintain employee records and handle HR-related queries
- Coordinate staff training and development programmes
Who We're Looking For
- Minimum Diploma from a local polytechnic or equivalent qualification
- At least 1–2 years of relevant admin experience
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Bilingual in English and Mandarin — required to liaise with Mandarin-speaking associates
- Highly organised with strong attention to detail
- Able to handle sensitive information with discretion and professionalism
- A team player who can also work independently and manage multiple responsibilities
