Job Summary

Support sales and operations by managing accounts receivable, inventory control, and invoicing processes while coordinating with staff and assisting auditors during audits.

Responsibilities

• Communicate bilingually to support sales and operations teams effectively
• Manage accounts receivable by processing orders and preparing accurate invoices
• Control inventory by tracking stock levels and coordinating with staff to ensure materials are available for job completion
• Liaise with operations and servicing staff to verify completed jobs on site and ensure timely invoicing
• Prepare delivery orders and invoices for customer deliveries and subcontractor self-collections
• Assist auditors during accounts receivable and inventory audits by providing required documentation and explanations
• Work overtime as needed to meet operational deadlines and support team efforts

Preferred competencies and qualifications

• Knowledge of Odoo accounting software to support accounting and inventory tasks

Job Description

· Confidential administrative duties to the Chairman.

· Perform basic accounting and bookkeeping tasks such as:

1. Recording transactions

2. Preparing invoices

3. Reconciling petty cash and bank statements

· Maintain proper filing systems for both digital and physical documents.

· Type letters, memos, reports, and other documents as directed by the Chairman.

· Keeping track of Chairman’s Kris Flyer points and redemption.

· Handle confidential information with discretion.

· Prepare and organize meeting materials and follow up on action items.

· Coordinate travel arrangements, including flights, accommodations, and itineraries for Chairman’s overseas trip.

· Liaise with internal departments and external stakeholders as required.

· To assist on any other matters under the guidance of Chairman.

Requirements

· Possess at least an Higher Nitec in Accounting or equivalent.

· At least 2 years of working experience as an administrative assistant, or in a similar role.

· Knowledge of accounting principles and experience with bookkeeping.

· Proficient in Microsoft Office (Word, Excel, Outlook).

· Excellent typing skills and attention to detail.

· Strong organizational and time management abilities.

· Able to work independently and manage multiple tasks effectively.

· High level of professionalism and discretion.

- Handle the application, renewal, and cancellation of foreign workers' passes, including S Pass, Employment Pass, and Work Permit, as well as tax clearance and other related compliance matters.

- Liaise with relevant government authorities and manage the end-to-end application process, including addressing any additional compliance requirements.

- Manage and maintain staff E-files, ensuring that all staff records, contracts, and documentation are up-to-date.

- Ensure HR policies & processes are organized and filed systematically for easy retrieval. Where applicant, they should also be made available for staff general access and references.

- Assist in preparing employment contracts, termination paperwork, and onboarding/offboarding documentation.

- Maintain and update HR databases with staff details, ensuring data accuracy and confidentiality.
