About the Role

We are seeking a reliable and detail-oriented Inventory & Logistics Executive to manage inventory operations and support the smooth day-to-day functioning of our beauty retail store. The role is responsible for stock management, supplier coordination, receiving shipments, and ensuring products are accurately tracked and available at all times.

Key Responsibilities

Inventory Management

• Monitor inventory levels across retail and storage locations.

• Receive, inspect, and record incoming products.

• Perform regular stock counts and monthly stock reconciliations.

• Ensure inventory records are accurate and up to date.

• Investigate and resolve inventory discrepancies.

• Manage stock transfers between locations.

Logistics & Operations

• Coordinate deliveries with suppliers and courier partners.

• Prepare products for store replenishment and customer orders.

• Organise and maintain storage areas following company standards.

• Ensure products are stored safely and according to expiry requirements.

• Assist with import and export documentation when required.

Supplier Coordination

• Communicate with suppliers regarding purchase orders and deliveries.

• Track shipment schedules and resolve delivery issues.

• Support procurement activities and maintain supplier records.

Reporting & Systems

• Update inventory management and POS systems.

• Generate inventory, sales, and stock movement reports.

• Support management with forecasting and replenishment planning.

• Maintain accurate operational documentation.

Requirements

• 1-3 years of experience in inventory, warehouse, logistics, or retail operations.

• Experience in beauty, cosmetics, skincare, or retail industries is preferred.

• Proficient in Microsoft Excel and inventory management systems.

• Strong organisational skills and attention to detail.

• Ability to lift and move boxes up to 15-20 kg.

• Good communication skills in English.

• Able to work independently and in a fast-paced environment.

Preferred Skills

• Experience with POS and inventory systems.

• Knowledge of Singapore retail operations and supplier management.

• Confirm the quantity and sign the outbound shipment document.
• Print out label according to the outbound shipment document.
• Put the outbound shipment document at the tray to inform them what are the carton/ pallet required.
• Search the loading bay sort out the carton tally with the outbound shipment document. If loading bay don’t have, go to Inventory to sort out the cartons and bring it to loading bay.
• Affix the correct label on the carton or pallet according to the outbound shipment document. To confirm all carton and pallet has been sort out correctly and is ready to ship out and place angle bar at the top of all the pallet.
• Count the total number of the cartons and pallets at the loading if it is tally with the report generated.
• Once the trucker loads all the cartons and pallets make sure trucker signs all the documents and place the signed document at the tray. Collect all signed documents.

• Receive and update car arrivals in system
• Ensure showroom cars meet display standards
• Verify warranty and servicing details
• Plan refurbishment work to meet KPI turnaround time
• Perform basic checks and complete inspection forms
• Liaise with vendors for car grooming and repairs
• Check car condition and prepare for delivery
• Accountable for delivery packs
• Plan and manage movement of cars
• Admin & Ad hoc Support
• Generate and attend to purchase orders
• Arrange inspections for road tax renewals
• Order number plates and parts accurately
• Manage loan cars and related documents
• Ensure showroom and cars are ready for audits and events
• Monitor stock movement and ensure smooth operations
• Communicate and coordinate with stakeholders

Requirements

• Minimum GCE 'O' Levels/ NITEC/ Diploma in any discipline
• Preferably with 2 to 3 years of administration operation experiences
• Proficient in MS Office

SUMMARY

• To support the structure of Pre-distribution workflow with JDE order processing, Master Checklist/Invoice creations and associated tasks for reliable supply of pharmaceutical products for clinical trials.
• Computer and associated software use.

RESPONSIBILITIES

• Support order importation and JDE Order Processing
• Support fusion Connect queue maintenance & trial set-up
• Maintain Shipment Log accurately (importation, greenlight, scheduling)
• Preparation of shipping documentation (Invoices, AWB, Import License, supporting documentation)
• Support pre-approval communication, pending shipment follow-up & dispatch scheduling
• Ordering of specific shipping solutions from the courier
• Support JDE Troubleshooting; cancellations and corrections
• Actively participate in Pre-Distribution case study sessions (support Continuous Improvement initiatives)
• Participate in Study Kick Off Meetings and support Study Set-Up activities
• Support address maintenance in JDE and invoices; pre & post-approval contacts and email maintenance
• Creation and Maintenance of Master Checklist and Invoice; Master Checklist creation with DGM capability
• Filing and ad hoc duties as requested by management
