Job Summary

Support the Manning team by maintaining records, preparing and processing invoices, managing routine ship and crew requirements, coordinating mail dispatch, and assisting with reports and correspondence to ensure smooth operations.

Responsibilities

1. Documentation & Data Management

• Records Maintenance: Manage and audit the Manning Team’s digital and physical filing systems to ensure 100% accuracy and data integrity.
• Correspondence: Act as a primary liaison for routine communications between vessels, third-party vendors, and Manning Agents to facilitate clear operational flow.
• Logistics Support: Oversee the dispatch of critical mail and documentation to vessels and global agents via authorized couriers.

2. Financial Administration & Tracking

• Invoice Processing: Verify, code, and input financial data into Eye Share and Shipnet to ensure timely payment processing and financial transparency.
• Document Preparation: Draft and organize essential financial and operational documents, including Invoices, Owner’s Disbursements (OD), General Service Agreements (GSA), and Ship’s ACRs.
• Reporting: Assist the Manning Superintendent (SI) in the preparation of quarterly financial statements and SSOA documents for management review.

3. Vessel & Crew Support

• Inventory & Supplies: Manage routine shipboard requirements, specifically overseeing the procurement and arrangement of crew uniforms and Cash to Master (CTM).
• Operational Reporting: Generate and analyze crew-related reports within ERP systems (Shipnet/Eye Share) to support the Manning SI’s daily decision-making.

Requirements

Job Purpose

Reporting to the Project Manager of Infra Management Office, the Project Coordinator will be a key member of the team to support project managers in planning, executing, and completing Infrastructure projects on time and within budget. The Project Coordinator will ensure smooth coordination between project teams, stakeholders, and external partners throughout the project lifecycle.
