Job Title: Sales Admin Executive

Key Responsibilities

  • Sales & Documentation Coordination
  • Liaise with dealers and sales teams to manage and process second-hand vehicle documentation.
  • Ensure all required documents are complete, accurate, and submitted in a timely manner.
  • Coordinate closely with internal and external stakeholders to facilitate smooth transaction workflows.
  • Asset Handover Management
  • Oversee the physical handover of vehicles and keys to customers or stakeholders.
  • Ensure all handovers are properly documented, verified, and tracked.
  • Maintain accountability and traceability for all vehicle transfers.
  • Record Keeping & Database Management
  • Maintain and update the internal vehicle database and tracking systems.
  • Ensure 100% data accuracy, integrity, and traceability across all records.
  • Regularly audit records to identify and correct discrepancies.
  • Inventory & Financial Administration
  • Conduct regular stock takes of aftermarket products such as car accessories, films, mats, and electronic items.
  • Monitor inventory levels and report discrepancies or replenishment needs.
  • Support basic financial administrative functions related to inventory tracking.
  • Commission Calculation
  • Accurately calculate sales commissions based on predefined structures.
  • Verify sales data and ensure timely and error-free commission processing.
  • Collaborate with finance and sales teams to resolve discrepancies.
  • Data Analysis & Reporting
  • Track and compile daily, weekly, and monthly sales and financial performance reports.
  • Analyze key metrics to provide insights into sales trends and business profitability.
  • Support management with data-driven recommendations and reporting.
