Responsibilities
- Perform the duty as Exhibition PIC, in overseeing the execution of project plan for artworks installations, logistics, budget control, procurement and resource management leading to realization of exhibition.
- Organise and coordinate transportation and packing/unpacking/ crate/uncrate of artworks (local and international) for NGS’s exhibitions with suitable risk mitigation measures (e.g. insurance, appropriate transportation methods and environmental conditions).
- Manage, account for and ensure up-to-date records of all artwork information, relating to exhibitions including loan agreements, receipts, condition reports, artwork movement, installation notes and any relevant documentation in artwork and collections management systems and related databases.
- Manage the day-to-day operations of offsite storage facilities, including liaison with landlords, building management, service providers, and relevant stakeholders to ensure the facility remains clean, safe, secure, and fit for purpose with good environmental monitoring, inventory control, and storage space planning.
- Develop and implement all aspects of the project plan for artwork-related activities leading to the realization of exhibitions, including workflow, budget, logistics, procurement, framing and reframing, artwork handling, mounting, condition reporting, technical setup and administration matters in all exhibitions.
- Coordinate cross-departmental collaboration to achieve project milestones, resolve complex challenges, and maintain high standards in exhibition delivery.
- Collaborate with internal and external stakeholders to achieve optimal resourcing, working relationships and fostering key networks.
- Manage the day-to-day operations, including safety, security of artworks and environmental conditions of the space of artworks in display or in storage.
- Ensure compliance with conservation and housekeeping best practices by maintaining preventive care routines, integrated pest management and appropriate climate control at artwork handling space, artwork stores and galleries.
- Review and keep up with current trends and best practices that may have an impact on exhibition planning, logistics, inventory monitoring and artwork related issues.
- Conduct regular risk assessments and implement mitigation plans for artwork handling, installation, and preventive conservation care.
- Support sustainability initiatives by integrating eco-conscious practices into logistics, materials sourcing, and operations.
- Performs other administrative duties when required
Qualifications
- Degree in a relevant discipline with at least 2 years of experience in a museum or related industry.
- Prior experience in registration, collections management, condition assessments, or artwork handling will be an advantage.
- Strong written and verbal communication skills, with the ability to engage effectively with diverse stakeholders.
- Detail-oriented with strong problem-solving abilities.
- Self-motivated, responsible, and driven, with the ability to work collaboratively in a team and manage multiple tasks efficiently.
- Ability to stand and walk for extended periods as required by the role.
- Demonstrated interest in the arts, heritage, and museum sector.
