The role encompasses providing crucial support in coordinating operational activities for Facilities Management at Robert Bosch Malaysia, in collaboration with the Facilities Manager. Responsibilities extend to liaising with internal heads and associates to meet departmental requirements, including space planning, organizing in-house events, trainings, workshops, and related tasks. Additionally, the role involves serving as an assets coordinator to efficiently manage and oversee relevant resources.
Key Duties and Responsibilities:
- Soft Services Operations – Liaison with the internal stakeholders on coordinating meeting room arrangements, equipment, etc; handling of key management system; handling of first aid boxes; Co-coordinating & maintaining records for general purchases; liaison with internal partners & external vendors;
- Supervisory to outsource security guards, receptionist & cleaners.
- Security related - Liaison with the internal HR on new joiner details and on arrangements for printing of new access card's, temporary cards, etc;
- Administrative – Raising of Bonaparte/PO, preparing justification report for purchases; handling of staff purchases; tracking on renewal of company licenses, regulatory renewals, etc
- Reporting – Support in providing reports wide online, ranging monthly, quarterly, yearly;
- Premise maintenance role, responsibilities include managing third-party service providers for cleaning, gardening, and maintenance. The role also involves developing and reviewing policies in line with Bosch directives and industry best practices.
- Space Planning and Project Management - Provide overview of space usage and maintain a space inventory within the organization.
