Job Responsibilities:
• Responsible for maintaining the company’s office, as well as the procurement, registration, stock-taking and write-off of office assets (computers, printers, office supplies, etc.), whilst controlling administrative costs
• Responsible for staff attendance management, leave application, and verification of attendance data
• Assist in organizing company meetings, events and travel arrangements, and ensure meeting minutes are taken and documents filing
• Responsible for registering SOCSO, medical insurance and other government-mandated insurance schemes for our staff
• Manage the daily circulation of official documents, document printing and photocopying, courier services, and the receipt and dispatch of correspondence to ensure efficient internal communication
• Oversee company vehicles, company and housing utilities and coordinate with property management, cleaner and security
• Host/serve the visitors, answer telephone calls and relay messages, maintaining a positive corporate image
• Assist the Human Resources department with employee onboarding and offboarding procedures, as well as personnel file management
• Responsible for the safekeeping and use of the company’s CIDB certificate, business licence, import/export operating rights, customs registration, foreign exchange registration and foreign trade operating permits
• Handle the application, annual review, amendment, renewal and archiving of various licenses and certificates; establish a ledger (log) of the company’s qualifications and licences; update statuses in real time; prevent licenses from expiring or being overlooked; and ensure compliance in cross-border trade operations
• Responsible for business hospitality for domestic and international clients, partners and overseas staff, including itinerary planning, hotel and catering bookings, airport transfers and logistical support during business engagements
• Responsible for the archiving of Chinese and English contracts, approval of seals (company chop), and contract version management
• Responsible for the confidentiality of foreign-related contracts, version comparison and backup archiving
• Responsible for processing visas for company personnel
• Carry out other administrative tasks assigned by superiors
Job Requirements:
• Aged 22–35, Malaysian citizen or holder of a valid work visa
• Diploma or Bachelor Degree or higher; preference given to candidates with a background in administration, management or related fields
• 1–3 years’ experience in administration or a related field
• Proficient in Microsoft Office software (Word, Excel, PowerPoint)
Skills Requirements:
• Excellent communication skills in Chinese, English and Malay (written and spoken)
• Familiarity with local administrative procedures and relevant regulations in Malaysia
• Strong organizational, coordination and problem-solving skills
• Meticulous, highly responsible and service-oriented
• Work in team and capable of working under pressure
