What will a day in this role may look like:

• Schedule meetings and travel arrangements
• Assist with arranging group events, both internal and external
• Assist in compiling professional documents, presentations and bid documentation.
• Help with the on-boarding of new employees including systems, policies and procedures.
• Collaborating with other teams within broader AECOM business such as the office administration support network, finance, facilities, safety & IT to expedite business needs for individuals and teams.
• Assisting with projects to manage and coordinate processes from concept to completion & liaising with stakeholders on behalf of the project team to support the effective delivery.
• Other day to day admin and housekeeping tasks as required.

Working closely with the Office Manager, this role is an integral part of our Newcastle Administration Team and plays a key role in ensuring the smooth and efficient running of the office.

You will provide general assistance and support to staff in the office in this busy and rewarding role.

Day to day responsibilities will include:

• Professional completion of company documents such as technical reports, letters and proposals
• Responding to client and staff queries and offering ongoing support
• Coordination of office facilities and contractors, including management of office first aid kits and test and tag register
• Coordination of couriers (incoming and outgoing) and order of stationery
• Support of Singleton office coordination and inductions with maintenance of online portals, uploading of insurance certificates (from Newcastle office)

This is a 12 Month Fixed-Term contract starting on Monday 4th December 2023.  The role ideally is Full-Time hours, but we are flexible to consider those looking for 4 days per week.

Job Description: 

The Administrative Assistant will provide administrative support to one or more managers within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintain inventory of office supplies.

• Assist in general administrative tasks and may provide support to other Executive Assistants
• Creates and maintains reports, spreadsheets, and other necessary documents in response to and in anticipation of department’s needs
• Prepares, reviews, submits and tracks expense reports for reimbursements
• Enters, tracks and processes departmental expenses and invoices for payment
• Sharepoint database administration
• Organize and manage Team shared files
• Processes documents for other departments as needed
• Assist in the development and update of project administrative procedures
