What you’ll be doing

• HR Service Advisor  is acting as the first point of contact for employees where self-service is either unavailable or where the query cannot be resolved through self-service channels available. The HR Service  advisor  provides answers to frequent questions related to e.g., HR policies, processes and systems and executes  transactions unavailable through self-service. Complex queries may need to be escalated to specialists.
• Complete requests from employees, creating written documents when required to meet regional laws or compliance
• Be part of the team in planning and directing the establishment and administration of HR Shared Services in recruitment, staff processes, employee records and organizational change; assisting in developing appropriate systems and processes
• Following process mapping and ensuring standard practices are implemented.
• Provides regional support to the various HR Departments and be involve in developing processes and tools which facilitate the quality of administration
• Meets defined SLA metrics for providing accurate, consistent, and timely services.
• Provide timely and effective services in various functions/ areas of HRSS in meeting the business needs and that of its stakeholders; ensure that HRSS meets or exceeds customer requirements.
• Documenting inquiries through ticketing and case management solution
• Leverage data insights to continuously monitor effectiveness of service delivery and to elevate the employee experience.
• Responsible for identifying service issues, proactively proposing improvements, and leading or supporting the implementation of changes.

HR Operations and EE Experience (HR) provides global remuneration, benefits and services for all businesses and their employees. Global Payroll has direct management oversight for E2E Payroll responsibilities across 30+ countries, representing approximately 92% of Shell employees globally, including the Shell HR community, third party providers. Annually the global Payroll team is responsible to ensure the timely, accurate and compliant delivery of approximately $14 Billion USD in total remuneration, in addition to extensive integration with both pension and equity assets across all countries.

Reporting to the India Country Payroll Manager, the Payroll Specialist is accountable for processing monthly payroll (salary payments, statutory payments) and verifying payroll administration against statutory directives and company guidelines, performing FCM controls, managing the payroll process by means of internal audit. In addition, the successful incumbent will participate and lead local/regional/global project as assigned and champion continuous improvement activities.

The incumbent will also liaise with various internal (i.e. HR & Finance colleagues, HR in Country, Policy Benefits & Services, IMTC (International Mobility and Tax Compliance), Employment Tax, Employee’s and Line Managers) and external (statutory body, PwC) stakeholders to resolve complex cases and provide exceptional customer service.  

They must ensure all Financial Controls and Data Privacy Rules are accurately executed to fully address the business risk in an environment with high monetary materiality and safeguard from Data Privacy breaches.

• Knowledge of the Run Payroll-process and ensuring on time processing of the scheduled payroll runs.
• Responsible completing the validation and analysis in accordance with the Global FCM (Financial Controls Manual) framework. ensuring accuracy of FCM control reports and the payroll.
• Focal in ensuring all statutory and non-statutory payments are executed timely. 4.Compilation of payroll data input (tax and pension), upload and resolve any inconsistencies in the payroll system.
• Assist Payroll Specialist and provide backup coverage to perform payroll processing and testing.
• Actively lead Continuous Improvement projects, cost reductions, and process performance improvements.
• Ensure payroll records and control files properly retained and timely declared as record per Group Record Management.
• Timely handle employee queries via Salesforce and meet SLA requirements.
• Ensures documentation of key processes are kept evergreen and align with global requirements.

What do we need from you?

• University Degree – preferably in Finance, HR, Accounting or Business
• Minimum 3-5 years’ work experience in Payroll Operations
• Knowledge of WD/SAP HR/Payroll system
• Being proficient in Microsoft Office programs, especially Excel
• Good interpersonal and analytical skills
• Fluency in English (written and verbal)

About the Role

Support Procurement Support Operations for Ariba Sourcing to Pay processes; covers all modules in Ariba inclusive of Contract Life-cycle Management, Sourcing, Catalog Enablement, Vendor Master Data Maintenance and Supplier Enablement.

Contract Lifecycle Management (CLM)

• Review and approve CLM creation and update in ARIBA.
• Ensure sourcing process compliance prior to contract signing with accurate documentation in place.
• Support CLM Contract Workspace creation & amendment, whenever needed.
• Support general enquiries on CLM.

Vendor Master Data Maintenance (VMDM)

• Review and confirm the vendor creation and changes in SAP ARIBA.
• Ensure all the requirements met per business unit requirements
• Maintain the vendor master data in SAP, whenever necessary
• Support VMDM enquiries, and deal with SAP FICO team if necessary

Catalog Enablement

• Review and approve catalog in ARIBA for the use of ARIBA P2P
• Ensure all the supporting documents are in place before approving the catalog
• Ensure compliance against sourcing process
• Maintain catalog approver rules file in ARIBA and ensure it is updated
• Upload catalog in ARIBA for the use of P2P and perform the maintenance, whenever necessary
• Support catalog – P2P related enquiries

Supplier Enablement

• Support supplier enablement activities on Ariba Network including but not limited to supplier communications, supplier data setup and work closely with Ariba supplier enablement team.
• Communicate internally with supplier relationship owners and externally with suppliers on the enablement process

Ariba Sourcing

• Ensure vendor is ready for Ariba Sourcing event and train the vendors on how to use ARIBA Sourcing
• Support sourcing event until completion

Report & Data Analytics

• Generate & customize report for the use of business units
• Prepare report dashboards for business units and customize according to their business requirements, currently using Tableau system
• Support report related enquiries

Others:

• Ensure the junior team members to understand the operation by the Service Areas
• Assist Team Leader / Manager to runs daily operations, if needed, inclusive of ticket segregation, handling urgent requests, etc.
• Ensure the SNOW tickets are updated on timely manner to have an accurate TAT
• Ensure training materials are up-to date for the team usage

Involvement in project UAT and supporting group / business unit initiatives as & when required

Job Requirements

Education

• Bachelor’s degree or equivalent experience in any relevant disciplines.

Experience

• 3-4 years working experience, experience in procurement related fields, shared services environment is preferred

Practical Skills/Abilities:

• Possess good analytical, communication, presentation and soft skills
• Able to communicate well in English. Other languages such as Cantonese, Mandarin will be and added advantageous.
• Able to write clearly and concisely and work within tight deadlines
• Able to work extended hours when necessary
