Responsibilities

• Set up and manage the Malaysia office, including coordinating with vendors for equipment maintenance and office supplies.
• Ensure the office is well-maintained and organized.
• Assist in maintaining HR records, including employee files, insurance records, and other relevant documentation.
• Support with visa applications, tax compliance, and other administrative tasks related to HR.
• Assist the HR Manager in the hiring process, including coordinating interviews, conducting background checks, and preparing offer letters.
• Collaborate with the HR team to ensure a smooth onboarding process for new hires.

This Commercial Assistant cum Office Manager will report to the Commercial Director, APAC.

The part you will play

• Commercial Support:
  • Assist the Commercial Director with various tasks, including scheduling meetings, preparing presentations, and coordinating travel arrangements.
  • Act as a point of contact between the Commercial Director and internal/external stakeholders, managing communication and follow-up as needed.
  • Support the commercial team with administrative tasks, such as data entry, file management, and document preparation.
  • Facilitate communication and collaboration within the commercial team and across departments, fostering a positive and productive work environment.
  • Prepare and distribute internal communications, announcements, and reports as needed.
  • Serve as a liaison between the Commercial Director and other departments, providing support and assistance as required.
• Office Management:
  • Oversee the smooth functioning of the office, including managing office supplies, facilities, and equipment.

You will play a vital part in ensuring the smooth and efficient operation of our Global Payments function, whilst having a lasting impact by playing a key role in several strategic global initiatives.

Key responsibilities:

Payment Processing

• Responsible for the accurate input, approval and processing of payments in accordance with established procedures
• Investigate and resolve payment discrepancies and errors promptly and accurately.
• Liaise with clients, investment managers, vendors and other stakeholders to ensure timely and accurate processing of client payments..
• Work with internal teams, such as Treasury, Banking Operations and Client Operations to ensure that all deliverables are met.

Leadership

• Act as escalation point for team.
• Deputize for Manager when required, ensuring that work is fairly allocated across the team.
• Ensure critical issues are escalated in a timely manner to senior stakeholders.
• Represent local team on global projects, and lead workstreams of projects.

Continuous Improvement

• Identify opportunities to improve the efficiency, accuracy and security of payment processes.
• Develop and implement process improvements.
• Ensure that procedures are up to date, and in line with firm standards.
• Stay informed of industry best practices and regulatory updates as they pertain to payments.
• Analyse opportunities for improvement within the overall payment process

Ad hoc: 

• Actively participate in the development and implementation of new systems and processes related to payments.
• Collaborate with cross-functional teams to contribute to product development initiatives to optimize payment processing and client experience.
• Assist with other ad-hoc tasks (e.g. audit requests) as required.

Personal Profile and Characteristic Requirement:

• Minimum Diploma / Degree in commerce, business administration or related 
• Proficiency in Microsoft Office application (Outlook, PowerPoint, Excel), Solution Selling Skills, Sales Negotiation skills, Sales Pipeline Management skills 
• Active listening skills and proactive communication in verbal and written 
• Minimum 5years sales experience in B2B environment and 3 year experience in managing a team of sales person in SME business portfolio
