Identify where improved patient care or savings might be achieved through rationalisation of a product, commodity group or suppliers' entire catalogue portfolio. Manage the introduction of new products in relation to clinical consumables and surgical items, ensuring objective rationale is applied to clinical governance and value for money issues. In conjunction with clinicians and Purchasing & Supplies staff review products, catalogues and suppliers, ensuring opportunities to consolidate and aggregate expenditure and replenishment processes are optimised. Provide nursing advice and support to the Purchasing & Supplies Department on all operational issues facing end user staff. Liaising at all levels to ensure effective feedback to aid continuous improvement. In conjunction with procurement and clinical staff, identify and calculate financial savings attributable to the actions of the clinical procurement specialist and report these consistent with the department's performance indicators. Determine information needs relating to effective product utilisation and evaluation within clinical practice. Co-ordinate and lead on product evaluation projects, taking account of research, innovation, clinical evidence, clinical need, benefits, disadvantages and value for money considerations. Identify research gaps in product information and where appropriate prepare research proposals and seek external support for clinical Liaising as required with procurement colleagues and the Research and Development Department to secure contractual arrangements. Where appropriate, support nursing research and practice development colleagues in training, education and practice development activity. Liaise with staff development managers and clinicians regarding education and development needs, emanating from Product Evaluation and Selection initiatives. Arrange and participate in workshops, seminars and study days in consultation with and gaining support from, suppliers and educationalists. Maintain an awareness of current issues in nursing relating to clinical governance, ensuring any implications are incorporated within procurement decision making. Contribute towards the development of suppliers and their products in support of the Trust's continuous product rationalisation initiative, including the implementation of systems to monitor supplier performance. Proactively offer advice and guidance to user departments in all matters associated with the evaluation, selection and utilisation of medical devices, meeting with customers on site where this is deemed to be beneficial. Ensure all queries, complaints and requests for information from customers and suppliers are dealt with promptly and that all necessary follow-up action is completed satisfactorily in writing, e-mail or by telephone. Undertake special projects or any other reasonable duty as directed by the Head of Purchasing & Supplies. Provide support to the Head of Purchasing and Supply, and Medical Devices Group preparing and presenting reports, ensuring supporting documents are available and that the Chair is briefed on proposed recommendations.

ATTRIBUTES

• BS in Business Administration/Supply Chain or related field or 2 years’ experience in buying/material management/or related area

RESPONSIBILITIES

• Purchasing & Supply Chain. Reviews and processes all purchase requisitions on a daily basis confirming correct pricing, cost centers G/L accounts are correct, and ensure appropriate approvals prior to processing. Generates purchase orders and returns upon receipt of approved requisitions, confirming pricing, availability and lead time. Ensures pricing is correct based on contract and established. Process daily purchasing and receiving reports. Maintains status on all orders opening, reviewing, updating, closing.
• Client & Vendor Management. Responsible for problem solving including providing support and answering questions for Supply Chain employees as well as internal and external clients. Cultivates exceptional relationships with all internal and external clients to ensure timely communication and customer service to include, but not limited to: updates on expedites, back orders, pricing, recalls, and all relevant vendor communication. Participates in vendor management, working with vendors to keep abreast of changes to products, searching for substitutions when needed, effectively negotiating pricing ensuring best total cost. Following up with departments and Complemar to ensure receiving paperwork is received timely to ensure proper data entry. Review daily Complemar receiving reports for accuracy and communicate with Complemar if corrective action is needed. Maintains all necessary files and records as required to include, but not limited to Open Order File, Closed Order File, Vendor Files, Packing list and receipt.

The listed base pay range is a good faith representation of current potential base pay for a successful full time applicant. It may be modified in the future and eligible for additional pay components. The Role:
The Director of Warehouse Operations leads all functions of distribution operations. This includes receiving, warehousing, fulfillment, and maintenance management teams. As a key member of the executive leadership team this position will contribute to setting company strategies and goals. This role collaborates regularly with procurement, sales, technology, finance, HR, marketing, food production, and transportation leaders. The Director of Warehouse Operations reports directly to Executive Director of Operations.

Here’s What You’ll Do:

• Ensure GMP compliance throughout warehouse operations, this includes but is not limited to receiving, labeling, inventory management, shipments, facilities conditions, and housekeeping.

• Maintain Safe environment in the area, including keep track of near misses and improvement projects to increase safe environment.

• Provide Guidance in Supply Chain principles for inventory management and make sure materials are moving at the pace requested by operations to minimize lost time and improve efficiency in the operation.

• Provide guidance in compliance activities, deviations resolutions and CAPA’s execution.

• Always assure Training compliance in the area.

• Creative management of space constraints with a customer service mindset to maximize services to all areas.

• Complete and maintain full loaded Cycle count program.

• Develop and maintain KPI’s including but not limited to cycle count accuracy, receiving process time, WTR levels, Overdue Trainings, overdue Deviations and CAPA’s

• Oversee compliance with SOX practices. Aligns the operations management team with company strategies and goals.

• Promote programs, policies, and processes for continuous improvement of culture, safety, quality, and efficiency.

• Develop operational strategies, goals, and KPIs that are easy to understand, communicate, measure, and get employees to support.

• Proactively identifies risks and proposes solutions through resource planning, forecasts, budgets, and labor schedules.

• Assists team in the procurement and ongoing maintenance of material and equipment throughout the facility, including soliciting bids and maintaining vendor relationships.

• Promotes collaboration and communication within departments and among leadership teams.

• Partners with Human Resource to enforce company policies, procedures, and resolve personnel conflicts.

• Provides regular performance reviews for the operations management team.

• Remain up to date of industry standards and technologies to ensure the organization is operating at a competitive advantage.

Here’s What You’ll Bring to the Table:

• A Bachelor’s degree in related field (required).

• 10 + years of experience leading large teams.

• 10+ years of experience leading operations in a warehouse, distribution, or manufacturing environment.

• Excellent written and verbal skills for presentations, negotiations, SOP documentation, professional emails, and communication of strategic goals.

• Strong technology and systems skills. Microsoft Office experience (Excel, PowerPoint, Outlook, etc.) Comfortable using queries, converting raw data into easy-to-understand conclusions, and graphics.

• Experience with implementation of new technologies, systems, and processes.

• Understanding of capacity planning and principles of capacity constraints.

• Experience with Lean manufacturing, Six Sigma, or other continuous improvement methods is a plus.

Reporting to the Clinical Procurement Adviser, the post holder is responsible for making the vital link between Clinicians and Procurement. To enable informed, best value decision making in relation to clinical products, to create and deliver interdepartmental cost control programs and sustainable solutions. To manage the interface between the clinical and procurement functions and thereby drives change, innovative procurement practice and contract compliance to drive out costs and improve patient care. To provide clinical support and advice to the procurement team and liaises with colleagues at all levels to ensure compliance in the use of agreed standardised products, ensuring the range of items within catalogues is rationalised to an optimum level.
