The Opportunity

You will join DRS as a Legal Assistant, organising and preparing files for upload, completing policy and process review, allocating legal negotiations, performing legal administrative tasks, verifying the accuracy of data, managing and delivering MI cases, assisting with executions and onboarding, supporting legal consultants with their caseload, reviewing documentation, extracting data from legal contracts, and performing monthly execution reconciliation.

Responsibilities

·        Manage your own workload.

We are looking for an Intern, reporting to the Manager, Legal based in Wisma Tune, Kuala Lumpur.

A DAY IN A LIFE

As a start-up, you can expect your days to be pretty varied. Multitasking is normal, and sometimes, your skills or natural talents will be leveraged to support other business priorities. That said, the bulk of your working hours should involve:

• Perform and assist in legal research as may be assigned by any of the Legal Counsels.
• Perform and assist in document reviews, data extraction, data entry and migration.
• Assist in all steps required for the completion and signing of all legal agreements, contracts, legal forms, statutory declarations, affidavits, board resolutions and/or any legal or company secretarial documentation. 
• Assist the filing, scanning, organization, copying, saving and/or archiving of all such signed legal or company secretarial documentation.
• Assist to maintain and update the legal contract master list and corporate tracking list for all Teleport entities.
• Assist to manage the Contract Management System or any other systems implemented or used by the department on behalf of the legal department, to ensure all legal documentation is easily accessible and retrievable at any time.
• Assist in ensuring that all agreement templates, deal checklists and general terms and conditions are updated with the latest version for all Teleport entities, as required by the respective legal counsel.
• Assist the Manager or General Counsel with extracting documents and data or preparation of documents or reports pursuant to audit exercises, reporting or quarterly compliance testing requirements.
• Assist with stamping of agreements either online in LHDN website or hardcopy, as required.
• Prepare basic internal/external correspondences, letters, memo or legal online newsletters.
• Communicate with internal and external parties on behalf of the legal team,
• Other administrative, clerical and organization support as may be assigned from time-to-time by the legal department including assisting with arranging meetings, securing meeting rooms, and procuring stationery or tools.

• Bachelor of Laws (LLB) degree holder or student, or any other relevant certifications or qualifications. Experience working in a legal department or law firm is an advantage.
• Solid written and verbal communication skills. Confidence in writing and speaking in English is an advantage.
• Able to work independently and as part of a team. Ability to identify issues and propose solutions.
• Analytical thinker, resourceful, proficient with research tools.
• Fantastic organizational skills and detail-oriented.
• Ability to work under pressure and meet deadlines.
• Skilled usage and knowledge of Microsoft Office Applications.

Nice to Have:

• Proficiency in Google Doc and Google Sheet.
• Ability to grasp and interpret basic legal documents.
• Ability to do basic legal research.

Supervises Security personnel on assigned shifts to ensure compliance with policies and procedures.

• In the absence of the Safety/Security Manager, functions on assigned shift as primary on center contact for on-duty supervisors, law enforcement agencies and other on-duty staff for immediate response to situations requiring Safety and Security staff attention.
• Continually makes physical inspections and security checks of grounds and facility and documents results.
• Performs safety/security officer duties and provides supervision to staff to protect life and property against theft, vandalism, misappropriation, fire, flood, or similar disaster on assigned shift in compliance with government, corporate, and management directives.
• Informs the Safety/Security Manager or designee of anything that warrants immediate attention, including major incidents, extreme emergencies, unscheduled arrival of important visitors, etc.
• Investigates incidents on center and provides clear and accurate reports.
• Controls disturbances and assists staff in de-escalating situations.
• Completes required security logs, documentation, and records accurately and on time.
• Accurately logs employees, visitors, vendors, and students as they enter and exit the center.
• Adheres to safety practices in all areas of responsibility.
• Fosters and sustains a conducive environment, ensuring it remains free from harassment, intimidation, and disrespect.
• Attends all required staff training opportunities.

- Oversee the overall operations of the Fire Command Centre within the retails units and ensure all related emergencies are attended and effectively dealt with in a timely manner.

- Support in the overall day to day management of the Fire Alarm Protection, Intrusion Detection, Electronic Access Control, CCTV surveillance and any other related systems.

- Monitor and implement crowd control / traffic management plan where required aligned to established procedures. 

- Provide and maintain proper and legible records in respect of events, activities and occurrences.

 - Assist in all responses as stipulated in the Store Emergency Management Plan to alarms, medical emergencies, fires and other similar matters, evacuating premises and contacting appropriate emergency services if required including administration of First Aid if required and notify appropriate stakeholders (Duty Manager, First Aider, ERT, etc.) in the event of accidents, emergencies or other incidents until the arrival of the proper authorities.

- Responsible in identifying potential problems related to safety and security and ensure prompt reporting to the Safety & Security Team for resolution, including, but not limited to malfunction in facilities, evacuation routes obstructions, safety and health hazards in and around the premises, etc.

- Report any occurrences of accidents, injuries and unsafe work conditions promptly to the Duty Manager and Safety & Security Team.

- Assist to carry out specific deployment tasks (Patrol, cash escort, checkout, loss prevention strategies, etc.) and ensure that all tasks are carried out effectively and promptly.

- Ensure all incidents are properly reported and escalated in the incident reporting system, ensuring proper documentation and follow up actions.

- Assist / participate in periodic safety & security systems testing and evacuation drills at established intervals.
