OPERATIONS EXECUTIVE

What this job involves:

FINANCE SUPPORT

Ensure the requirements for finance are performed by all sites by a certain deadline, including auditing the monthly submissions by each site.
Act as the intermediary between Operations site and Finance to ensure AR is managed and kept to a minimum.
Track additional revenue and contribute ideas towards the achievement.
Assist with the JDE system set up – support the finance activities (for sites without FC/FA) such as issuance of POs (fixed and ad-hoc), receiving invoices, accruing costs at month end, tracking month end status of finance via the month end checklist.

EOS SUPPORT

  •  Set up the site field manuals for each site.
  • Perform test calls and monitor escalation readiness.
  • Ensure all the EOS requirements for each site are tracked and reported.

OPERATIONS SUPPORT

  • Identify training for each site on the scope of works and KPI.
  • Assess the performance of vendors.
  • Provide Procurement support – to assist with setting up of DAB and assist to draft the contracts for the vendors.
  • Meeting Management – Keep track the required site visits to each locations and meetings with clients
  • Reporting Support - Keep track of the deliverables of each account and report accordingly, including financial matters and compliance requirements as well as monthly reporting, in accordance to the time lines.
  • QBR Support – Track all compliments and complaints raised by the client and populate QBR draft each quarter

COMMUNICATIONS SUPPORT

  • Identify and perform the required communications between HQ and all the site (on all latest news or announcements).

Education and experience
Min. Bachelor’s degree in engineering, facilities management &/or 2-3 years’ experience in facilities, property management or related field.

An eye for detail

You’ll have an eye for detail and an ability to analyse qualitative and quantitative information – and translate this into strategic deliverables. 

A relationship builder

As well as a keen desire for success in facilities, you’ll have the ability to handle complex conversations with business owners, senior executives, and high-level corporate real estate decision makers. You’ll also be good at building team relationships and excellent interpersonal skills. 

Great organisational skills

You’ll have great time management and organisational skills, and be good at meeting deadlines in a fast-paced work environment and adapting to your team’s or client’s changing requirements.
