As a Business Support, you will provide comprehensive administrative support to contribute to the efficient daily operational needs of the business. This includes supporting the Business/Operational Leadership team through managing schedules, coordinating meetings and travel arrangements, handling correspondence, and performing various administrative tasks with confidentiality, professionalism, and a high level of attention to detail. This position plays a pivotal role in enabling smooth communication, seamless coordination, and overall effectiveness for the business operational team.

Manage Executive Calendar: Organize and maintain the senior executives' schedules, including prioritizing appointments, meetings, and events, ensuring optimal time management and efficient use of their time.Coordinate Meetings: Schedule, prepare for, and coordinate meetings, including sending out meeting invitations, securing meeting rooms, arranging for necessary equipment and materials, preparing agendas, and taking minutes as required.Travel Planning: Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa processing, while ensuring cost optimization and adherence to company travel policies.Correspondence Management: Handle incoming and outgoing communications on behalf of the executives, including drafting and proofreading emails, letters, reports, and other documents. Maintain confidentiality and ensure timely responses to inquiries and requests.Document Preparation: Prepare and edit presentations, reports, and other documents as requested by the executives, ensuring accuracy, clarity, and adherence to company guidelines.Information Management: Maintain and update confidential files, databases, and records, ensuring accuracy, accessibility, and adherence to data protection regulations.Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, vendors, and colleagues, to facilitate effective communication and collaboration on behalf of the executives.Expense Management: Process and track expense reports and reimbursements, ensuring accuracy, adherence to company policies, and timely submission.Special Projects: Support the executives in various special projects by conducting research, preparing presentations, and providing administrative support as required.Administrative Support: Provide general administrative support, including managing phone calls, arranging for office supplies, handling mail, preparing documents for signature, and performing other ad hoc tasks.Procurement Support: Management of new vendor qualification process within Jaggaer based on requests from Project Delivery Teams and requalification of existing vendors periodically.
