The Opportunity

We're hiring a remote Executive Operations Partner to be the second brain and operating layer behind a founder-led, fast-moving organization. This is a chief-of-staff-in-the-making role: you'll see what needs doing and do it before being asked.


You'll drive business development and pipeline, stage decisions so leadership is never the bottleneck, protect time and attention, and keep every key relationship warm. You own outcomes, not errands.


This role is built for an initiative-driven operator who turns chaos into systems and keeps the humans warm. You're highly organized, calm under load, an excellent writer, proactive to a fault, and discreet with sensitive information. You're comfortable saying "here's what I recommend" instead of "what do you want me to do?" You treat a blocker as a system signal, not a reason to go quiet.

What You'll Do

Business Development (Lead)

  • Source, research, draft, and follow through on B2B opportunities
  • Run warm intros and reach-outs on a consistent cadence
  • Keep the CRM the honest source of truth, with every active deal carrying a stage, an owner, a next touch, and a date
  • Make sure no warm lead goes dark because someone went quiet

Executive Leverage (Decisions → Execution)

  • Stage, surface, and clear decisions on schedule so leadership is never the bottleneck
  • Present every pending decision in a Context → Options → Recommendation → Ask format that fits on one screen
  • Reduce "quick questions" and eliminate avoidable surprises
  • Maintain a clear decision log that everyone can rely on

Relationship Intelligence

  • Maintain a living map of investors, prospects, partners, and VIPs, including who they are, why they matter, who owns the relationship, last touch, and next step
  • Deliver a one-glance "who is this, why they matter, last touch" brief before every meeting that matters
  • Make sure no critical relationship lives only in one person's memory

Meeting Prep & Operating Rhythm

  • Run a daily packet with signal metrics, what changed, risks with owners, and decisions needed
  • Build pre-reads and agendas, and name an owner for every follow-up
  • Triage inbox to zero-ambiguity and keep the calendar reflecting real priorities, not whoever asked last
  • Coordinate travel, appointments, events, and cross-team logistics quietly in the background

Continuity & Documentation

  • Capture the way work gets done into reusable SOPs, templates, and a growing reuse library
  • Build trackers, logs, and rhythm so the seat compounds instead of resetting
  • Make it possible for a new person to pick up the rhythm from what's written down

EOS Administration (Phase 2)

  • Grow into running the operating system alongside the leadership team
  • Prep weekly leadership meetings, keep the Scorecard current, and track quarterly priorities
  • Stage issues for resolution and chase action items to done
  • Keep core processes documented and stored where the team can actually find them


What We're Looking For

Required:

  • Initiative and entrepreneurial drive, you see the gap and take it, build from nothing, and treat the seat like your own venture
  • B2B business-development experience, you've personally moved a pipeline through sourcing, outreach, qualification, and follow-through, owning the outcome rather than just the activity
  • Relationship intelligence, you naturally track who matters and why, and build the system so leadership doesn't have to carry it
  • Ownership and pride, you sweat the details, go one step past the task, and close the loop without being chased
  • A recommends-don't-just-ask instinct, you default to framing options and making a call, not escalating everything
  • Clear, crisp writing, short, factual, and decision-ready
  • Calm discretion, trusted with sensitive personal and business information
  • CRM fluency, comfortable running a CRM as a real source of truth with deal stages, pipelines, sequences, tasks, and reporting
  • Strong working knowledge of Google Workspace (Gmail, Calendar, Docs) and a docs or project-management tool for a single source of truth
  • Comfort surfacing a blocker early, proposing a path, and continuing on safe-progress work instead of going quiet

Helpful, not required:

  • Background in a VC, PE, or executive office (or a founder's or CEO's office), with exposure to investors, deal flow, and high-stakes communication
  • AI fluency, with Claude preferred, used to draft, summarize, and automate with the judgment to catch what it gets wrong; we'll build the muscle with the right person
  • Familiarity with EOS / Traction (Level 10, Scorecard, Rocks), or the ability to learn it quickly for Phase 2
  • Experience turning repeatable work into AI-assisted workflows
