Key responsibilities include, however not limited, to the following:

· Administer all documentation pertaining to creating new Job card, repair quotation and vehicle history files.

· Walk around the car with customer to check if there are any scratches/ dents before handing over vehicle to workshop and to customers.

· Organize Pre-delivery vehicle between workshop, contractor, and sales.

· Assist customers in checking-in and out of their vehicles from the workshop.

· Attend to phone calls, emails, and drive-ins to address any customer concern.

· Determine if technical solution can be resolved over the phone escalate immediately to Foreman/Service Manager to provide immediate attention.

· Able to perform troubleshooting of basic faults and problems of vehicles.

· Conduct transactions with system walk customer through correction(s) and provide summary.

· Effectively communicate estimated completion time, regular updates and follow through on each customer vehicle.

· Follow-up and ensure overall customer satisfaction with the work performed.

· Effectively handle multiple priorities, organise workload, meet deadlines and perform detailed daily record keeping and reporting.

· Recommend suitable packages and/or add-ons for customers.

· Handle accident claims, quotation and communicate with insurance company.

· Any other ad hoc duties assigned.

Requirements:

· Candidate Must possess Valid Singapore Driving licence Class 3/3A

· Candidates without Automotive background but experience as Customer Service can apply.

· Brand Training will be provided.

· Technical experience will be an added advantage.

• Study vehicle repair history and ensure Workshop Manager and Senior Motor Claim Advisor are informed of any unusual or repeated complaint.
• Write out, in-accordance with the individual vehicle diagnosis, individual work orders with the job item numbers, job specification and flat rate specifications.
• Confirm with customer that our records of their personal particulars are correct. Update history file and GDMS if there is a change.
• Conduct Vehicle Reception Check with reception checklist in the presence of customer for all cars brought in for body and paintwork repairs.
• Advise customers of the best method to pursue their insurance claims from a few insurance claims option available.
• Negotiate with surveyor / insurance companies to get the best labour charge.
• Promote the sale of workshop capacity by offering special services.
• Promote the sale of parts and accessories.
• Verify job contents and check vehicle exterior body for dents, scratches in the presence of customer.
• Prepare accurate accident repair estimate and provide supplementary estimate necessary.
• Advise estimated repair cost for work to be done, ask for authorisation budget on additional job.
• Obtain customer signature on work order and advise them on the accepted mode of payment (cash / credit card).
• Add jobs with customer's approval or within customer agreed budget; key add jobs into GDMS and inform workshop foreman / workshop planner accordingly.
• Communicate with workshop foreman on the repair status, observe promised deadline.
• Conduct final check on vehicle cleanliness, verify job completion after end control.
• Inform customer that the vehicle is ready for collection, the repair cost and collection time.
• Decide appropriate goodwill decision for request that falls under the normal frame work.
• Refer to Workshop Manager and or Senior Motor Claim Advisor for assistance if help is required addressing the customer needs.
• Personalise vehicle delivery after repair to the customer including explaining the repair invoice to customer; inform the customer of any outstanding matter, for instance jobs required to be done on next visit or parts on order if any.
• Maintain the Body and Paint reception area neat and tidy.

Requirements:

• Diploma in Mechanical Engineering, Automotive Engineering or Business Administration
• At least 3-5yrs of working experience as motor claims advisor
• Experience in motor trade in Body and Paint dept

Job Scope

ACCIDENT CLAIMS

• Handle all accident claim and windscreen claim cases, including those related to the Company’s and its related entities’ vehicles.

• Attend to customers and assist customers in filing GIA (General Insurance Association) accident report including preparing documentation such as Letter of Authorisation, Discharge Vouchers etc.

• Explain and ensure customer understands the claims process

• Represent customers to prepare & submit estimation in repair cost

• Arrange surveyor to inspect the damaged vehicle

• Represent customers to negotiate with the insurers on the insurance coverage and the repair cost

• Finalise the repair cost with surveyor and send LOD to insurance company

• Coordinate and manage the paperwork including the invoicing of the repairs to customers and insurers

• Source for the required parts for repairs

• Oversee the accident repair with mechanics or external vendors (i.e paint job/panel beating)

• Keep customers up to date on their cases.

• Engage in active collection process on outstanding payments from insurers

• Monitor and ensure timely payment recovery on outstanding payments from insurers

• Liaise with lawyer in cases whereby insurer does not reply on letter of demand and/or estimates

WARRANTY CLAIMS

• Filing of warranty claims in the online platform.

• Other duties as and when assigned

Requirements

- Minimum 2 years experience in accident claims process.

- Able to work with and manage external vendors and suppliers.

- 5.5 day work week.
