What You'll Do

Responsibilities: -

• Overseeing environments of a data center, supervise systems and also identify, log, and report issues to superior.
• Perform precautionary system maintenance to ensure that the center’s systems and network are functioning well.

Job Purpose:

Develop and implement all Information Technology (IT) and Record Management (RM) activities to ensure smooth running of the operations, within the limits of requirements, specifications, costs and timelines.

• Liaison between internal users and service providers or vendors on any company specific requirement in managing risk to overall system security.

3.       Record Management

• Create, manage, and maintain a fit for purpose record management system and process from records creation, classifications, security & accessibility, preservation through to disposal, complying to company's policies and procedures and regulatory requirement in order safeguard company’s interest.
• Manage and track the operationalization of record management in the company and maintain a proper process for knowledge retention in order to maximize effectiveness of the Record Management system.

4.       Business Continuity Management

• Coordinate the implementation of Business Continuity and Disaster Recovery plan to ensure continuity of business operations while minimizing business downtime, opportunity and financial losses and/or adverse business reputation impact during disaster or crisis.

5.       Improvement and Sustainability

• Implement improvement initiatives to support sustainability of information technology and record management delivery through adoption of industry best practices, technological and digital advancement to maximize value creation.

About the role
Reporting to the Head of Support Services , the Estates Information Management System (EIMS) Manager will provide specialist support in information management within the EIMS and related systems. This will include:

• Leading and assuring the effective management of the EIMS
• Integrate continuous improvement in process design relative to the Estates data strategy.
• Deliver specialist support in operating the EIMS to meet the Operational model in Estates.

You will be liaising with the System Delivery provider, the supply chain using the EIMS, the Framework contractor base, all Estates staff, as well as colleagues across the University who use the EIMS’ reporting functionality, as such you should possess effective communication skills

The EIMS relies on agreed workflows of how enquiries and incidents are allocated and actioned. This role will be key in deciding what routes are critical and need to be adjusted or improved as part of the continuous improvement of the system. A detailed understanding of the principles and effective application of an Information Management System in relation to the management of properties or assets within the Portfolio is therefore essential.
The ability to devise, develop and implement new procedures and Business processes in association with the Estates Managers and other stakeholders is also essential.

Program and Operations Coordinator, Media Trials Program, APAC

Contract Duration: May 2024 to October 2024

As a Program and Operations Coordinator, your main responsibility is to assist the Media Trials Program (MTP) managers on operations, pipeline management, enablement, reporting, escalations, and general program communications. This includes working with deal leads, product specialists and sellers across APAC, as well as Regional Product Leads and the Global Media Trials Program Lead directly when necessary. The Service

The Planning Service sits at the heart of the Economy, Planning & Transport Directorate. The main objective of development management is to work with our partners, customers and communities to create places and buildings that improve social, environmental and economic wellbeing. Development management focuses on working closely with developers, using innovative ideas to maximise development opportunities in the city’s interest, to reduce risk and to achieve a deliverable scheme.

Through working with our partners in South Hampshire we are the only region to identify a solution to the 'nitrates problem' but this has left us with a legacy of a backlog of applications, exacerbated by the challenges of service delivery during Covid. You will have the opportunity to shape a Development Management service to deliver efficient, sustainable decision making while delivering strategic scale place making developments.

Working for the City Council is a real change for me as I was previously Planning Policy Manager for the UK's newest national park, the South Downs and I led on their first ever Local Plan. I used to live in Portsmouth, and it is a place that I am very fond of. The city has a real spirit and there are some truly ambitious projects to get involved with such as the City Centre regeneration and Tipner. I have found both the officers and Members here to be friendly and welcoming.

There are of course challenges including the recruitment and retention of senior officers. There is a good senior management team for Planning & Economic Growth and we are all supportive of each other.

Your new role

The main objective of development management is to create places and buildings that improve social, environmental and economic wellbeing. Development management focuses on working closely with developers to maximise development opportunities in the city’s interest, to reduce risk and to achieve a deliverable scheme.

You would be responsible for managing the following functions within the Planning & Economic Growth Service:

• Development Management

• Planning Enforcement

• Contaminated Land

• Section 106 Contributions and Community Infrastructure Levy

You will deliver an efficient and effective customer focussed development management service to deliver sustainable development and growth within Portsmouth. You will also contribute to the sustainable development and long term economic prosperity of Portsmouth and the wider area.

What you'll need to succeed

You will have a relevant planning degree and/or relevant Membership of the Royal Town Planning Institute. You will also have extensive knowledge of planning legislation and extensive experience of working within a development management environment.

You will also have clear understanding of the role development management plays in delivering regeneration with experience of working with developers, members and other stakeholders in a development management environment.

You will have strong strategic and leadership skills to provide a high quality Development Management service working across multiple areas in a complex environment.

You will be committed to team success and work with others to reach a common goal, sharing information, supporting colleagues and searching out expertise and solutions from relevant partners and/or the communities you serve. You will lead by example through your behaviours and professional approach to work; inspiring your colleagues and driving for positive outcomes for the city

The contracted staff shall work closely with another support team to ensure allowance payment timeliness and accuracy, investigate/address any allowance payment operational issues, and execute/monitor allowance payment system interface jobs between the system and another interfacing system till successful payment.

The contracted staff shall be responsible for the following:

· Support payroll processing for allowances.

· Perform pre-payroll checks for allowances.

· Ensure successful analysis of allowances payment before payroll processing every month.

· Support users in data profiling for allowance payments.

· Ensure payment accuracy for allowances.

· Detect possible data quality exceptions and communicate these issues to users effectively.

· Review system logs to ensure no unauthorised transactions.

· Detect and highlight possible unauthorised transactions.

· Track issues and follow-up.

· Provide any other details requested by the Authority to support payment accuracy and timeliness.

· Propose, document and implement improvements to the current work processes to achieve increased efficiency and effectiveness or tighten audit issues in delivering the maintenance support services.

Pre-requisite for Analyst Programmer

Education Qualification

· The candidate(s) should possess at least a Diploma/Degree in Computer Science, Information System, Science, Engineering or Equivalent.

Required Competencies

· Possess knowledge in SAP HR and Payroll, with ability to perform data query via SAP programs/queries or SQL.

· Good knowledge of payroll processes and processing.

· Have strong interest in investigating and identifying causes of issues, and able to propose solutions to rectify the issue.

· Good planning and coordination skills.

· Strong writing, verbal communication and presentation skills.

· Good team player, responsible and conscientious.

· Resourceful, independent, responsive and pro-active.

1.5 Required Working Experience

· At least 1 year of working experience in information technology or HR related.

· Experience in SAP HCM ERP is preferred.

· Experience in SAP payroll system IT operations and support is preferred.

· Experience in SG Government HCM projects and pay business domain is preferred.

Security Clearance Requirement

· The candidate is required to be a Singaporean and he/she will be subject to security clearance before commencement of service.
