Responsibilities
1. Implementation and monitoring of student academic administration
- Works with the Registrar’s Office on a regular basis to ensure appropriate advising to potential students, managing admission, and course registration.
- Works with ACAD on a regular basis to carry out academic actions such as add/drop subjects, deferment and withdrawal from the study.
- Works with ACAD to supervise graduation audit and certifications, and management of degrees/transcripts.
- Works with Finance Department to resolve student’s queries or problems regarding fees and PTPTN matters.
- Works with CCE and Program Directors to administer academic credit transfer approval process (granting external credit or internal credit based on APEL C for the University.
- Prepare student’s timeline projection to ensure students’ study completion.
- Monitor students’ study progress and make the necessary adjustments if needed.
- Reviews and attempts to resolve students' academic problems, including clarification of requirements, waivers, substitutions, exceptions, complaints, etc.
- Keeping a record of student statuses such as active/inactive, warning, probation, exclusions, readmissions, special evaluations, etc and following up with students if necessary.
- Supervises the Dean’s List Award and certification.
- Works with Exam Unit and Finance Department in processing Special Exam Applications.
2. Oversees the administrative matters in the School
- Remind faculty members of the academic timeline and execute necessary actions to ensure the faculty members meet the deadlines.
- Supervises and coordinates the academic advising system for the School and maintains student records in the office needed to support academic advisors’ work.
- Management of the School, including human resources. (Such as preparation of MRF for the part-time lecturers/existing lecturers, processing claims of part-time lecturers and processing the tutor approval application from Regional Campuses.)
- Works with the Deputy Dean (Operation) to review student landscaping to propose courses to be offered for the semester for the Main Campus.
- Works with the Academic Coordinators from Regional Campuses to propose courses to be offered for the semester.
- Works with the Deputy Dean (Academic) regarding the scheduling of workload and instructional hours of School to meet program and Collective Agreement demands and deadlines.
- Works with the Deputy Dean (Operation) to disseminate information to Course Leaders before the beginning of the semester (Course Plan, Test Specification Plan, Timetable, Appointment Letters, Academic Calendar, etc)
- Coordinate with the Deputy Dean (Academic) regarding the course plan to be approved before being distributed to the students.
- Coordinate, arrange and prepare the minutes of all the school meetings, such as Faculty, Pre-BoE and BoE meetings. Keeping the record of the meeting systematically for future retrieval.
- Conduct early semester feedback and teaching evaluation.
- Monitor completion of teaching files by Course Leader
- Assist retrieval of necessary information and records for MQA Audit.
3. Facilitating School-level programmes and activities
- Act as a Document Controller.
- Assists with document compilation for the new programme.
- Assist in the Program Harmonization process.
- Provides study information for interested and potential students
- Supervises and coordinates all student orientation programs for the School.
4. Interpretation and administration of University policies, in consultation with appropriate personnel as required.Coordinate with Regional Campuses, collaborators, and partners on related matters in terms of documentation, registration, students’ records, claims, reports, audits, etc.
5. To manage and execute the preparation of MQA, MOHE, etc. documentation for audit purposes
6. To ensure a high level of customer service is achieved and maintained.
7. To maintain confidential records and files at the Faculty/Centre.
8. To support the Dean for the overall management of the programme and to support the Dean in growing the Faculty/Center to achieve its set objectives.
