Job Responsibilities

• Prepare Purchase Orders and send copies to suppliers including urgent purchases
• To ensure proper purchasing procedures are carried out in accordance to company ISO procedure including implementing controls to reduce risk of unnecessary purchases
• Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems
• Review requisition orders to verify accuracy, terminology, and specifications
• Prepare, maintain and review purchasing files, reports and price lists
• Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers
• To consolidate all purchases to obtain quantity discount
• Track the status of requisitions, contracts and orders
• Ensure acknowledgement of all issued purchase orders from suppliers
• Ensure daily purchase orders are updated into in-house system
• Calculate cost of orders, prepayment or deposits and forward invoices to appropriate accounts
• Manage key supplier and contractor relationships
• Maintenance of AccPac Inventory Control System and creation of BOM item code
• Perform Suppliers’ Survey prior to first purchase and conduct yearly Suppliers' evaluation basing on ISO audit requirement

Roles & Responsibilities

• Manage the purchase and supply of all procured goods and services.
• Successfully manage a large supplier base, negotiating improved supplier terms and pricing
• Conduct market research and report on movements in price and changes in terms being offered.
• Manage supplier relationships including quality and supply issues, improving supplier performance, and building successful supply chain partnerships.
• Identify and assess new supply options for current and upcoming purchasing requirements.
• Complete the internal supplier approval process to ensure that all suppliers meet the relevant business standards, and all relevant certification and records are up to date.
• Arrange and attend supplier meetings to analyse and discuss supplier performance, as well as gain knowledge of the full portfolio of products and services offered.
• Maintain regular communication with the Operation Team to finalise and confirm the weekly production schedule based on customer requirements and available material stocks.
• Analyse internal purchasing processes and suggest improvements to ensure continuity of the department’s performance.
• Negotiating and prepare a contract with vendors to purchase materials and services at the best price possible
• Monitoring inventory levels to ensure that adequate supplies of products are available at all times.
• Able to handle logistics / shipping documents.
• Resolution with supplier for any discrepancies, such as price, quality, schedule, & delivery.
• Prepare purchasing related report.
• Able to support ah-hoc order when tasked by Manager/Management.

Requirements:

1. Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma in any field.
2. Experience in purchasing field with min 5 years directly procurement buyer related experience in construction company.
3. Good negotiation and coordination skill.
4. Knowledge of commonly used business software (MYOB, Microsoft Office)
5. Able to work in a fast-paced environment independently.
6. Willing to travel oversea.
