- Ensure the handling of Supply Related Issues and Invoice Queries via tasks of the 1st Line Advisor Country Support are as follows: -1.Facilitate the escalation of delivery related issues (incl. delays /shortages) from Requisitioner.2.Handle assigned invoice queries and escalate delayed supplier payments to Accounts Payable.3.Act as 2nd escalation Level.
- Ensure the collection and review of identified changes to training materials and communication of required updates (FAQs.)
- Ensure contributions are consolidated and prioritized key messages are delivered for overall recommunication to users via clinics.
- Monitor GSS P2P performance metrics (Efficiency, Compliance, Volume, Performance
- SLA´s, etc.).
- Carry out analyses and derive optimization ideas.
- Based on the ideas, initiate improvement initiatives and collaborate with the CI Team, GPR, Process Owner to drive optimization and standardisation as well as opportunities for process automation and technology enhancements to streamline Procurement Operations.

Accounts Payables Function

• Assist in coordinating the preparation of the departmental annual budget.
• Assist in monitoring and controlling departmental cost on an ongoing basis to ensure performance against budget.

• Assist in Invoice posting and payments and Month end accruals.

Procurement Function

• Implement sound purchasing policies, systems and procedures in accordance with Company standards. Monitor vendors for quality, service and price through standard purchasing specifications. Obtain competitive quotations for hotel requirements and ensure that the best product is sourced and purchased.
• A minimum of three independent genuine quotations must be obtained.
• Establish contracts to ensure reduced pricing for all operating areas of the hotel.
• Receive market list from the Head Chef and arrange for delivery of the items daily.
• Ensure that all orders receiving dates are updated by the buyers according to the vendors/suppliers’ promised delivery dates.
• Ensure that all authorised or approved purchase orders are sent to their respective suppliers/vendors for delivery purposes on a daily basis.
• Ensure and verify that quotations are regularly updated, and vendors/suppliers’ new current price lists are maintained.
• Ensure the efficient operation of the Purchasing function in all aspects.
• Research and identify new products and services for the hotel in the market.
• Check explain if needed and approve delivered items discrepancy report issued by cost control regarding price and quantity order variances.
• Verify that all documentation and proper quotations are maintained and filed according to Policy and Procedure requirements.

Job Responsibilities

• Ensures the safety of the products and the valuable material in the store
• Ensures that the goods in are entered into the IT system.
• Lays out the products in the store according to the set criteria and place in designated shelving.
• Prepares the products destined to the sales floor (anti-theft tag, price tag)
• Prepares the goods for repairs/ returned send to repair lab, etc.
• Perform Internal Outlet Transfer (IOT) whenever there’s request by the sales floor team.
• Dispatches the goods to clients/factories/other stores or warehouses.
• Prepare packing, scanning and process in system external transfer of goods to other countries in the Group.
• Packing of past season goods to be delivered to Origin whenever items on the shop floor are not sold

Requirements

• Candidates with warehouse / logistics experience are an advantage.
• Can communicate well in English / Mother Tongue and blend well with the team.
• Willing to do retail shifts (5 day work week including weekend)
• Proficiency in Microsoft Offce (Excel) is an advantage.

Retail sales candidates who wishes to switch to Inventory / Backend side are also welcomed.

Pay package will commensurate with experience.

• Conducting product research and sourcing new suppliers and vendors
• Request quotes and compare prices for maximum ROI.
• Track incoming inventory, delivery arrival time and note actual arrival time.
• Updating and Maintaining records of all Orders, Payments, and Received Stock
• Coordinating with the receiving team and follow up on receiving items.
• Establish Professional Relationship with Vendors and Suppliers
• Collaborate with financial team members on invoicing and other financial matters.

Job Requirements:

• Minimum Nitec in any field
• 1 to 3 years of relevant experience
• Knowledge and understanding of purchasing processes, policy and systems.
• Proficient computer skills, including Microsoft Office Suite (Words, Outlook and Excel
• Excellent verbal and written communication skills; able to negotiate and process contracts.
• Able to multitask, prioritize and manage time efficiently.
