The Senior Administrative Assistant will provide complex, executive level administrative support. This role is responsible for providing the appropriate first impression and representation of the leader. Additional responsibilities of this role include the handling of confidential material and coordination of day-to-day workflow, including complex calendar management, global travel coordination, expense reporting, and email review and organization. The ideal candidate for this role must be an accomplished administrative assistant with proven experience supporting high-level leaders, as well as a highly organized, proactive, flexible, self-starter with strong initiative, who possess strong follow through skills and shows interest and ability to improve processes and apply new technologies. This person will add value as a member of the team through strong administrative, organizational, technical and communication skills and will be an integral member of the business.
Key Responsibilities
Maintain and update calendars in a fast-paced environment with many competing priorities including fielding all incoming scheduling requests, prioritizing the most urgent and sensitive matters and meetings, communicating with all parties, and ensuring that meetings are set up for success
Handle highly confidential information in a timely manner while exercising required discretion
Proactively owns and organizes meetings including scheduling, agendas, coordinating with remote participants, material preparation, record minutes from meetings, provide post meeting materials, distribution to attendees, and catering
Serves as a key resource for the team (e.g., independently seeks out answers to questions, takes initiative, leverages network of resources to solve problems)
Assists with overflow work from Executive Assistants
Act as project coordinator for your teams/leader when requested/needed
Serve as a subject matter expert on training/onboarding key leaders
Participate on onboarding of new administrative team members
Attends/provide suggestions to your leaders/managers LT meetings
Networks with peers to gain broader knowledge of overall Alight business
Foster an environment of growth and development by providing coaching and real time feedback to peers
Works as an effective team member by contributing toward coverage when necessary
Prepares and produces presentations and correspondence, graphic presentations, and other documents, including editing for grammar, punctuation, and clarity
Create and/or proofread correspondence to distribute internally and externally
Maintains files, databases, distribution lists, or SharePoint sites as appropriate
Coordinates complex travel arrangements and submits related expense reports
Records time accurately and submits according to corporate guidelines
Maintains a flexible approach and attitude toward assisting others
Prioritizes work, makes measurable progress on assignments, and delivers quality results
Understands practice/business terminology
Develops and maintains a sound knowledge of internal network and resources
Serves as resource for Alight branding

Knowledge, Skills, Abilities, and Experience Required
High school diploma or equivalent
Minimum of 6 years of relevant experience
Intermediate ‑level computer literacy in Microsoft Office Suite and other programs, as applicable
Typing speed of 50 wpm with demonstrable accuracy
Displays excellent customer service skills and attention to detail
Proficient writing skills—grammar, punctuation, spelling, and proofreading
Ability to communicate effectively and professionally
Ability to work independently with a variety of individuals
Demonstrable organizational skills
Professional appearance in a business casual environment
Demonstrates discretion on highly confidential matters
Work Environment
Participate in off-site training sessions and meetings.
Ability to be flexible with various shifts and possible overtime when business needs require.
Can effectively work in a virtual environment.
