• Position: Company Secretarial, Senior Executive.

Introduction
Chrisjac Recruitment is currently looking for the services of a qualified Company Secretarial Senior Executive to join a successful public listed company in Kuala Lumpur. The successful candidate will be responsible for corporate governance and for ensuring the company complies with its obligations under the Companies Act and the listing rules in Malaysia. The incumbent will have oversight and responsibilties of the Company Share Registter and Share Schemes. This role would suite an ICSA graduate with variuos secretarial experience ideally working within a listed environment.
The Job Role
The successful candidate for this role will be working in a small growing team and the position will assist  the senior Company Secretary with the entire company secretarial functions across various subsidiaries and jurisdictions. The role involve close contact with Directors,senior management,in particular Tax,Legal,Group financial Reporting within the organization.
This is a broad ranging and hands-on role which involves working in a busy team environment.
The responsibilities will involve:
-Dilivery of company secretarial duties for the various subsidiary companies.
-Preparation of broad and committee packs.
-Producing clear and concie munutes of meetings.
-Assist to ensure that the Companies Act and relevant regulatory requirements are adhered to and complied.
-Assist in keeping statutory records of the Company's subsidiaries up-to-date.
The candidate
Aspiring candidates who are interested in this Assistant/Senior Executive level role will have a comprehensive PLC experience with recent experience of managing large share schemes,reports and accounts in a PLC environment listing and organizing large scale AGMs.
Candidates must be a qualified Chartered Secretary/ICSA graduate with minimum 3 years of post qualified experience in handling corporate secretarial duties.
Possess strong knowledge of basic company secretarial compliance matters, maintenance of company registers and share certificates, issuing and transfer of shares and listing requirements.
Experience of convening and attending Board meetings plus preparation of minutes.
Experience of drafting board and shareholder resolutions.
Possess excellent written and spoken English in necessary and essential.

My client is seeking a highly skilled and detail-oriented Legal Executive/Paralegal to join their legal team. The ideal candidate will have a strong understanding of legal procedures, contracts, and regulations pertinent to the shipping industry. They will play a crucial role in supporting their legal operations, assisting with contract management, regulatory compliance, commercial matters and litigation matters.

Job Duties

1. Assist in the preparation, review, and management of legal documents, including contracts, agreements, and regulatory filings.
2. Conduct legal research on various shipping-related or commercial matters, including maritime law, international trade regulations, transportation law including Engineering, Procurement and Construction law.
3. Recording minutes of meetings.
4. Collaborate with external lawyers and other team members to gather necessary information and documentation for legal proceedings and transactions.
5. Maintain, organize and update legal files, databases, and records, ensuring easy accessibility and compliance with retention policies.
6. Monitor changes in laws and regulations affecting the shipping industry, providing updates and recommendations to the legal team as needed.
7. Assist in the resolution of legal disputes, including coordinating with external counsel, drafting correspondence, and preparing evidence.
8. Support the legal team in administrative tasks, such as scheduling meetings, managing calendars, and coordinating document production/execution.
9. Render legal support to various business units and subsidiaries in other jurisdictions.
10. Provide general assistance and support to other departments on legal matters as required.
11. Assist legal team to create and enhance corporate policies including data protection.
12. Assist legal team to enhance corporate social responsibility and sustainability efforts.

Requirements

1. Bachelor’s degree in law (LLB) or diploma or degree in Paralegal Studies, Legal Studies, or related field.
2. Previous experience (min 3 years) working as a legal executive/paralegal in a law firm, corporate legal department, or shipping-related industry.
3. Strong understanding of legal principles and procedures, with specific knowledge of maritime law, EPC contracts and shipping regulations preferred.
4. Proficiency in legal research methods and tools, including LexisNexis, Westlaw, or similar platforms.
5. Excellent written and verbal communication skills

Job Description:

You are part of a team of administrative officers providing secretarial as well as administrative support to client company and ensuring efficient day-to-day operations of the general office. As part of a team, you will:

• Provide secretarial support to Senior Management;
• Provide administrative support in respect of casework, such as assisting with the preparation and execution of unannounced inspections, business searches on databases, arranging interviews with persons assisting with investigations, preparation and filing of legal documents, issuance of notices or correspondences, monitoring of casework or project timeline and complaint management;

Job Requirements:

• Preferably have at least 1 year of work experience in corporate support and administrative work;

Main Responsibilities:

• To be responsible for the compliance and efficient operations of the dormitories;
• Daily check and report on vice activities of residents pertaining to drug abuse, theft, alcohol intoxication, violence, peddling of contraband cigarettes and illegal works outside of Company;
• Liaise with relevant government authorities and dormitory management for all dormitory matters;
• Report violation of dormitory house rules and conduct briefing of house rules and regulations for current and new residents;
• Perform and report on monthly checks on dormitory electrical, fixtures and structures to ensure safe operational conditions;
• Handle employee’s repatriation when necessary;
• Assist the Senior Security Executive to oversee and supervise the duties of the security team, cleaning team and vendors;
• Assist the Senior Security Executive in all matters pertaining to security and housekeeping; ensure that all employees and their matters are dealt with in accordance with established SOPs;
• Assist to conduct OJT for new Security Officers;
• Carry out daily random checks and report on the stock balance of products in the sales trucks;
• Support Senior Security Executive and Housekeeping team during any customer or statutory audits, outbreak or emergency situation;
• Random check on foreign workers’ external housing to deter false declaration or overcrowding;
• To cover duties of Senior Security Executive in his absence.

Requirements:

• Minimum 1-2 years of experience preferably in dormitory operations, security or facility management related field.
• Basic proficiency in English (written and spoken)
• Basic office administration process
• Working knowledge on FEDA is advantageous.
• Monday-Friday (1.00pm to 10.00pm), Saturday 8.00am-12.30pm.

This is a temporary fixed term position to cover maternity leave of an employee.

Primary functions:

· Reporting to the VP - Legal , the candidate will assist in all the Legal & Secretariat affairs of the Group’s regional businesses and companies;

· Manage record keeping for all legal-related correspondence and documentation including hard copy, soft copy and data room indices

· Key point of contact for all external corporate secretarial service providers for the Group on cost effective basis, and to coordinate corporate secretarial and legal matters across jurisdictions

Secondary Functions:

Advocacy (Stories Curator)

1. To identify and interview donors, patients, volunteers, and other stakeholders to gather impactful stories surrounding our cause.

3. To ensure that stories are effectively shared across various platforms, including social media, websites, and publications.

Events

1. To manage third-party fundraisers’ operations and financial donation administrator as well as ensure compliance with regulator’s codes and guidelines.
2. To be responsible for the planning, organising and running BMDP’s events to raise awareness of our cause and increase visibility of BMDP. Such events could be for Donor Recruitment, Public Education and/or Fundraising purposes.
3. To provide good stewardship and engage appropriate, regular communications to retain existing supporters (sponsors and/or donors), encouraging supporters to continue with donate/fundraise and to increase their giving.
4. To manage BMDP’s engagement and / or adoption by third-party organisations who are running events and ensure BMDP’s involvement and presentation conforms with our brand values and messaging.
5. To review existing fundraising strategy and generate new opportunities for funding solicitation and sponsorship; to develop funding proposals, donation appeals and appreciation letter for different partners and to build, foster and maintain good relationship with such partners.

1. To ensure adherence to departments policy and procedures to be in compliance with BMDP’s policies and in adherence to the requirements of regulating bodies such as WMDA, PDPA, Charity Act etc.
