As a Sustainability Analyst you will assess and report on the quality and robustness of the sustainability management systems of companies from all over the world.

Data analysis will be primarily qualitative, centered around the analysis of a company’s management system documentation. You will become an expert in applying the EcoVadis methodology, built on the most rigorous international Corporate social responsibility (CSR) standards and frameworks (for example: GRI, ISO 26000), already 15 years in evolution. In a state of virtuous advancement, the methodology continues to be driven forward by strong market forces, societal expectations and emerging regulation.

Day to day activity of the role

• Assess a company’s management system documentation, applying the EcoVadis methodology during the entire analysis process
• Understanding of sustainability management system documentation provided by rated companies, extraction and synthesis of material sustainability data related to environmental, social, ethics and supply chain
• Follow up with rated companies when needed, to clarify specific issues related to their assessment 
• Review regularly updates regarding Ecovadis methodology and apply them to assessment process
• Complete quality checks during assessment process
• Working on daily targets
• Confirm the implementation of a rated company’s sustainability management system components using the EcoVadis methodology guidelines. 
• Additional responsibilities related to the function may be required.

How you will grow

When you join the team you will be welcomed into a robust training program designed to master the topics of sustainability, including the EcoVadis methodology, and assess a company’s sustainability management system with confidence. You will have training coordinators dedicated to your professional growth in the first month, supported by senior analysts providing feedback and suggestions on your work. Once your training is completed, you will begin working on a greater diversity of companies, increasingly complex with a variety of unique contexts.

In addition, you will also have the opportunity to gradually pivot some of your time to work on development projects to grow other aspects of your career. These projects often include colleagues from our international team of analysts.

Make your mark as a document controller at our office in Abu Dhabi. As a document controller you are a crucial part of a project team as well as the document management department. On a daily basis you will be working closely together with engineers and project managers who are depending on your pro-active aid and accurate assistance when it comes to raising issues, document handling, and exchange. At the end of the day, you will be the person who made sure that all project documentation was properly processed. You ensure that the entire project team, including sub-contractors and client organizations, can find what they need to move forward on the project. • You act as the first point of contact for multiple project teams, the customer and subcontractor with questions about the document management system (DMS) and the project documentation.

The team

Avantor’s Order Management team is formed by 27 persons divided in 3 teams with 3 Team Leaders.

The Open Orders Management team is responsible for investigating and resolving issues that arise like: logistics problems, issues with our suppliers, and concerns related to available inventory.

The team involved in the middle of this end-to-end process: they serve as a link/connection between the customer, our sales and customer relations teams (front office), and the Procurement/Procurement, warehousing, etc.

Academic: Faculty

Qualification (Economics, business sciences) and 3+ years in a fast paced, customer focused environment or non-academic background with 2+ years working experience

Biopharma/Lab environment knowledge (preferable)

General responsibilities:

• Order Entry (adding different products to the customers orders)
• Handling customer inquiries (eg delivery date, documents, certificates, price confirmation etc)
• Close collaboration with local Customer Service and Sales teams
• Checking reports that prevent us from delivering the goods (eg blocks, reservations etc)
• Open Orders Management (proactively working on open sales so that we can ship goods and invoice the customers)
• Make sure all customer orders are in a constant flow;
• Identify the issue / root cause for the issue (in case we can not deliver the goods to our customers in time);
• Check open sales orders on different criteria;
• Make changes on orders in SAP (the enterprise resource planning tool we use for managing Sales and Deliveries)
• Communicate with logistic and procurement departments to solve all open orders for which the OOM rep is accountable;
• Communicate with local customer service offices in the countries for which we offer support;
• Communicate with customers directly for alternatives if items are not available;
• Enter information in SAP for various orders;
• Review /Analysis of Open Order Reports (using applications such as Excel, Qlikview, Power BI);
• Communication of relevant information to various teams;
• Identification and solution of non-standard cases;

Job Description:

We are now looking for a Junior Accounts Receivable Accountant - French Speaker to onboard our GBS in Lisbon.

Responsibilities - your mission 

• Performs the administrative tasks of the respective process

• Contributes to the Financial Statements elaboration

• Ensures compliance with the legal regulations, the accounting rules and the internal controls, following the standards and procedures defined by the Group experts and process managers

• Applies financial processes and tools, involving financial flows and transactions according to International Financial Reporting Standards (IFRS)

• Applies specific finance and transactional knowledge in Accounts Receivable process

• Defines the accounting structure and principles for general accounting and other financial and administrative transactions related to Accounts Receivable process and supports the harmonization between the different legal entities of the scope

• Proposes continuous improvement actions on Accounts Receivable process and systems

Detailed tasks

In priority

• Allocate the Incoming payments to the invoices manually or through electronic tools.

At a second stage following Shared Services Center growth: 

• Creation and modification of customer master data.

• Customer contract analysis and register them in SAP, including data creation and modification.

• Issue commercial delivery invoices, credit notes and advanced payments invoices according to legal, accounting and tax rules.

• Send the invoices to the customer, including additional documentation for the payment by post mail, email or electronic transmission when it is applicable.

• Get and verify external documentation like Airway Bill, Bill of Lading, Transfer of Title, Customer´s certificates, and others.

• Analyze and prepare the debtor’s statement of account.

• Send to the customer reconciliation debt letters monthly.

• Collaborate with business in the customer dunning process attending different debt committees and supplying debts reports.

• Customer bad debt analysis (including documentation), post bad debt provision when appropriate. Customers Write-off postings

• Analysis of Balance Sheet related accounts (Receivables, advanced payments)

• Prepare ageing report and sending it to the Business

• Support to the different audit process

• KPIs elaboration

• Application of internal controls in the transactions’ postings 

• Other Reports

​Requirements

• Finance / Accounting / Business Admin/ Economics degree or experience in administrative accounting tasks

• Knowledge of accounting field and capacity to implement actions

• Accounting transactions and closing

• Internal Financial Control Standards

• Accounting Systems (SAP), preferable

• Lean principles for process continuous improvement 

• Capacity to understand customer mindset and to translate in concrete actions 

• IFRS and accounting processes

• Capacity to interact and influence with customers from different locations (US/Europe)

• Understanding of internal controls principles 

• Native French speaker

• English and French - Advanced Level.

• Other language is a nice to have

• Maintaining consistent and high-level execution of daily tasks related to payment processing;

• Detecting and escalating domain-related problems and complex issues to Regional Payment Operations teams, ensuring timely and relevant communication with stakeholders;
