We are looking for an Assistant Manager, Facilities to join the team.

As an Assistant Manager, Facilities, you are to be an expert in space planning, contract negotiation, and facilities management. The ideal candidate should hold certifications from the Building and Construction Authority (BCA) in building management and fire safety. This role will be responsible for overseeing the efficient operation and maintenance of our facilities, ensuring a safe and comfortable working environment, and optimizing space utilization.

Responsibilities:

- Space Planning

- Develop and execute space utilization strategies to optimize the use of daycare facilities.

- Collaborate with various departments to understand their requirements and plan accordingly.

- Implement space allocation and reallocation plans to accommodate changing business needs.

- Contracts Negotiation

- Negotiate and manage contracts with vendors, service providers, and suppliers for facility-related services.

- Ensure cost-effectiveness and adherence to budgetary constraints while maintaining service quality.

- Monitor and enforce contract compliance, including performance standards and deliverables.

- Facilities Management

- Oversee the day-to-day operation and maintenance of the facilities, including building systems, security, and infrastructure.

- Manage facility service requests, work orders, and repairs, ensuring timely resolution.

- Develop and implement preventive maintenance programs to ensure facility reliability and safety.

- Supervise a team of facility personnel and provide leadership in achieving operational goals.

- Health and Safety Compliance

- Ensure compliance with fire safety regulations and emergency response procedures.

- Conduct regular safety inspections and drills to maintain a safe working environment.

- Collaborate with relevant authorities to obtain and renew necessary safety permits and certificates.

- Budget Management

- Assist in the development and management of the facilities budget.

- Monitor expenses, identify cost-saving opportunities, and report on budget performance.

- Reporting and Documentation

- Maintain accurate records, documentation, and reports related to facility management activities.

- Generate regular reports on facility performance, issues, and improvements.

- BCA Certification Compliance

- Stay up to date with building management and fire safety regulations.

- Ensure that the organization is in compliance with BCA requirements and guidelines.

Job Requirements:

- Bachelor's degree in Facilities Management, Business Administration, or a related field.

- BCA certification in Building Management and Fire Safety.

- Proven experience in facilities management, space planning, and contract negotiation.

- Strong knowledge of building systems, maintenance, and safety regulations.

- Excellent communication and leadership skills.

- Proficiency in using facility management software and tools.

- Ability to work independently and collaboratively, managing multiple projects simultaneously.

- Knowledge of sustainability and energy-efficient practices in facility management is a plus.

- Strong problem-solving abilities and attention to detail.

- Willingness to respond to facility-related emergencies outside of regular working hours.

RESPONSIBILITIES

• Responsible for managing the full suite of the Facilities Department including but not limited to daily operations of the sub-departments, Landscaping, Maintenance, Housekeeping and Operations support.
• Provide overall supervision of the buildings to ensure all systems (security, fire safety, landscaping, electrical) are running smoothly and safely.
• Gain in-depth knowledge and understanding of school and departmental policies and procedures and ensure that they are adhered to at all times.
• Develop and manage a planned preventive maintenance schedule for respective schools, undertaking the responsibility of facilities work with safety as a priority and so as not to disrupt the school day.
• To be responsible for carrying out daily / weekly / monthly checks to ensure that all statutory and advisory inspections are undertaken, recorded and actions implemented - proactively inspecting all facilities of the school including but not limited to E.g. classrooms, staff offices, specialized rooms, sports grounds, play areas, common spaces, any other areas within the school compound.
• Schedule, manage and supervise daily works of team members. Prioritize work on a need/time sensitive basis after consultation with the relevant stakeholders.
• Regular site walk / review to ensure all school compounds are safe, compliant and well presented.
• To take preventative measures and steps to eliminate health and safety risks where possible, and report any hazards immediately.
• Liaise with external contractors to manage elevators, fire and emergency systems, landscape, waste disposal, pest control, etc. to ensure the school facilities are well maintained and escorting and advising external contractors attending the school site, ensuring compliance with safeguarding procedures.
• To monitor construction/renovation contractors work and check completed works prior to handover.
• External partner vendors to ensure compliance with policies and ethos of school to maintain safety, security and child protection.
• Possible suppliers and vendors for quotations and service contracts, ensuring best value is obtained, when deputizing for the facilities manager.
• Various government authorities as needed.
• To carry out any ad-hoc tasks and duties as required.

QUALIFICATIONS

• Possess Diploma in Building Services or Facilities Management
• At least 5 years of related work experience, preferably in school environment or similar;
• Self-driven and committed individual with excellent follow up;
• Results oriented and able to work under pressure;
• Good interpersonal and communication skills;
• Competent in Microsoft Office is compulsory;
• 5-day work week.

Job Description

• Manage and ensure smooth and efficient day-to-day operations of the school which include facility management, logistics, safety and security, housekeeping, classroom and kitchen operations
• Coordinate with external contractors on outsource works. Conduct vendor management, procurement, manage cost and perform regular contract reviews
• Plan and implement preventive maintenance and improvement works
• Inspect building, reporting all defects, abnormalities and non-compliances to Head of Department
• Oversee the expiry dates of term contracts, building permits, certificates and all other relevant requirements

Requirements:

Job Requirements:

• Degree/Diploma in Engineering, preferably in Instrument/Electrical/Mechanical Engineering.

• Minimum 2 years of relevant technical sales experience in oil & gas downstream.

• Experience or knowledge in Electrical products [Explosion-proof LEDs] and valve actuators will be an added advantage.

• Strong communications and relationship building skills that can successfully translate sales leads to orders and can work collaboratively internally.

• Self-driven/self-starter, and able to take new ideas from conception to implementation.

• Understand customer needs and able to leverage on both product portfolio and internal resources to identify cross-selling opportunities across accounts to create additional value to customers and maximize the Company's sales revenue.
