The Opportunity:

Embry-Riddle Aeronautical University is now hiring an experienced Executive Assistant to the Sr. Vice President and Chief Operating Officer (SVP/COO). As the Executive Assistant, this individual will play a critical role in facilitating the smooth functioning of the SVP/COO's office by managing administrative tasks and ensuring efficient communication and coordination within the organization. Responsibilities include the following:

• Ensure all administrative, financial, and operational aspects of the SVP/COO’s office are running efficiently, including the management, planning, and tracking for operating budgets.
• Handle inquiries for the SVP/COO’s office, determine priority, create action plans, and assist with preparing, editing, and disseminating communications.

How You’ll Contribute

Reporting to the Chief Diversity, Equity & Inclusion Officer, the Deputy to the Chief Diversity, Equity & Inclusion Officer and Vice President of DEI (DCDEIO/VP) serves as an operational and thought partner for the CDEIO and supports the overall strategic and operational oversight responsibility of the Society’s DEI team’s strategic, operational and programmatic initiatives. The DCDEIO will assist with leading the DEI team’s efforts by ideating, advising, and initiating DEI team projects during the strategic design and implementation phases. Either directly, or through staff they supervise, they also manage assigned special projects and cross-organizational initiatives. The DCDEIO/VP works collaboratively with individuals across the DEI team and organization. The DCDEIO/VP enables the CDEIO to work effectively with internal and external stakeholders and fulfill their responsibilities in ensuring NG Next’s diversity, equity, and inclusion throughline is embedded throughout the Society’s operational and programmatic work. Responsibilities Include 

Strategy and Leadership (40%) 

• Work with the CDEIO as a thought partner to pace and drive the DEI team’s development, analysis, and implementation of priorities, partnerships, and operational needs in support of the mission of the Society and the Society’s strategic plan NG Next

• Alongside the CDEIO, provide leadership and DEI professional expertise to the DEI team by advising and supporting DEI team staff members and their projects and initiatives. 

• Build relationships and provide DEI professional expertise to teams across the organization. 

• Provide leadership to the DEI team by creating a culture of continuous learning and professional growth. Within this group, proactively identify challenges and help coach DEI team members on how best to address DEI issues and matters.

• Provide guidance, support and expertise and coaching on topics related to staff engagement, learning and development, and strategic collaboration to the DEI team. 

• Regularly represent the DEI team at meetings with other NGS divisions, National Geographic Disney divisions, and outside funders/entities.

Consultation and Collaboration (30%) 

• Work closely and cross-functionally on behalf of the CDEIO with the Society’s operational teams to provide DEI expertise and advice to ensure the Society’s operations functions are consistent with the NG Next diversity, equity, and inclusion throughline. 

• Work closely and cross-functionally on behalf of the CDEIO with the Science and Innovation, Storytelling, Education, and Explorer Engagement teams to provide DEI expertise and advice to ensure the Society’s programmatic portfolio is consistent with the NG Next diversity, equity, and inclusion throughline.  

• Work closely with DEI team members to ensure their DEI-related programs and initiatives across the Society are successfully implemented.

Administration (25%) 

• Work with the CDEIO and business partners to ensure that internal activities and processes (e.g., development of annual plans, impact evaluation, gap analyses, budget development and oversight, and partner management) are completed on time and executed with positive internal and external customer service. 

• As the DCDEIO, lead efforts to improve the initiation, assessment, monitoring, and growth of DEI team programs and initiatives. 

• In collaboration with Strategic Insights & Initiatives, develop data-driven theories of impact for the DEI team’s programs and initiatives.  Ensure that the appropriate data is effectively collected and foundational to the business decisions of the division and the Society.

• Work closely with the Strategic Insights and Initiatives team to track the progress and effectiveness of the DEI team’s efforts as well as the Society’s overall DEI efforts.

• Keep current on DEI developments, opportunities, and metrics/trends outside the organization and use that knowledge to fine-tune our DEI goals and direction. Work with outside organizations (e.g., universities, associations, advocacy groups) to research and implement custom and effective DEI initiatives focused on expanding the field.

• Lead the strategic and administrative development of DEI team annual plans and budgets, impact evaluation, gap analyses, budget oversight from an impact perspective, and partner management. 

External Relationship Management (5%) 

• Serve as an external representative of NGS, interfacing with representatives from partner and peer organizations.
