JOB SUMMARY

• Assist the Principal in the administrative matters.
• Will play a pivotal role in ensuring the smooth and efficient operation of administrative processes. The responsibilities will span various facets of administrative management, including record keeping, communication, and coordination with staff, students, and external stakeholders. JOB RESPONSIBILTIES

(a) Records Management.

• Maintain accurate and up-to-date records of student enrolment, attendance, and education performance.
• Organize and manage student files, ensuring compliance with data protection and privacy regulations.
• Generate reports as needed for management and regulatory purposes.

(b) Communication and Correspondence

• Facilitate effective communication within the education centre by managing emails phone calls, and other correspondence.
• Act as a liaison between staff, students, parents, and stakeholders including parent organisation, conveying information in a clear and timely manner

(c) Scheduling and Coordination

• Assist in scheduling classes, meetings, and events, ensuring optimal utilization of resources.
• Coordinate logistical aspects of classes, meetings, events and other educational programs.
• Manage calendars for key staff members.

(d) Facility Management

• Oversee the maintenance of the physical premises, ensuring a clean and safe environment for students and staff.
• Coordinate with relevant department for facility-related services and repairs.

(e) Budgeting and Procurement

• Assist in budget planning and monitor expenditures to ensure fiscal responsibility.
• Coordinate procurement processes for office supplies, equipment, and other necessary items.

(f) Policy Compliance

• Ensure compliance with regulatory requirements and internal policies and procedures.
• Stay informed about changes in educational regulations and implement necessary adjustments.

(g) Human Resources Support

• Assist in the recruitment / sourcing of relief teachers.
• Assist the on boarding process of new staff.
• Maintain employee records and support HR-related activities.

(h) Event Planning

• Plan, coordinate and execute annual events, such as graduation ceremonies, open houses, and management meetings etc
• Assist in planning and execution of students’ co-curricular activities. Coordinate with volunteers for any such activities.

(i) Other Administrative Task

• Assist in any other administrative task as assigned by Principal or General Secretary.

Responsibilities:

• Gather and analyse information required for the planning of each audit assignment.
• Assist in the design of audit program (including audit procedures and audit tests) of each audit assignment.
• Based on the approved audit program, perform internal audit work (including follow-up of past audit issues) and gather evidence in accordance with the internal audit standards.
• Audit work include evaluation of technical appraisals of the project and cost estimates, site check to ascertain that work done on site comply with drawings and specifications, verification of accurate payment for work done based on measurement of quantity and correct rates being applied. • Assist Team Leader in finalizing the audit findings, recommendations, and reports, and collate management responses and action plans to mitigate risk.
• For senior associate and above, assist Team Leader and/or Internal Audit Director to manage end-to-end audit cycle for the audit engagement assigned.
• Track issues identified by Internal Audit and external auditors, and monitor implementation progress of management action plans. Conduct validation review on management remediation actions to address control deficiencies.
• Assist in developing Annual Internal Audit Plan using a risk-based approach.
• Assist in the preparation of deliverables such as audit reports and presentation materials to Management and Audit Committee

Job Requirement

• A good Diploma in Structural & Civil Engineering/Building/Quantity Surveying/Estate Management/Construction Management or equivalent from a recognised polytechnic or relevant professional qualification
